CRM for construction companies: quotes, sites, and interim payments on one record

A CRM for a construction company is a system that keeps the trail of a job on one record, from survey to quote and from contract to site and interim payments. Where the trail breaks when a survey note never reaches the site.

A CRM for construction companies is software that keeps the whole trail of a job on one customer and project record, from survey to quote and from contract to site and interim payments. In construction the customer relationship does not end with the signature; the real work starts after it.

01.

What does a construction firm need from a CRM?

Short answer

A construction firm needs the quote, the contract, the site, and the invoice to stay tied to the same job record; the sales record must not stop at the signature.

Example scenario: Picture a contractor in Kocaeli building homes and commercial buildings. In the morning a landowner calls about a build-for-share deal, at noon a factory asks for a survey for an annex, and in the evening a running site is waiting for a materials approval. Each job is at a different stage, yet they all sit in front of the same office.

A typical CRM stops at the sales funnel: opportunity, quote, won. In construction, a won quote is the start of a new file: contract, work schedule, site, subcontractors, interim payments, and final acceptance. If the record is cut at the signature, the site lives in another spreadsheet, interim payments in accounting, and the photos on the foreman's phone.

So in construction the CRM's job is to keep the customer card on the same core as the project and the finances. The tabs of the customer card in Corex360 show this: contacts, tasks, opportunities, quotes, contracts, projects, finance, and files all sit inside one card. You can read how the card works on the CRM module page.

02.

From survey to quote: where is the first record opened?

Short answer

The first record should open the moment the survey request arrives; the survey note and photos sit on the same card as the basis of the quote.

In construction the quote starts with the survey. The site is visited, measured, the ground and the existing structure are photographed, and quantities are taken off. If the survey note stays in a notebook and the photos on a phone, whoever prepares the quote works as if they had never seen the site.

In Corex360 the WhatsApp message, the email, and the PBX call link to the same person, so the survey request is read from the customer card whichever channel it came from. The person who goes to the site enters the photo and the note from the iOS or Android app; the report is tied to the project and the customer card, and the survey photo reaches whoever prepares the quote together with the project file in Corex Drive.

The quote sits in the Quotes tab of the customer card; when the customer asks for last week's price, the answer is on the card. X AI brings the unanswered quote forward in the morning report; nothing goes to the customer without your approval.

03.

How is the site opened once the quote is accepted?

Short answer

Once the contract is signed, the project is followed under the same customer record; the site's steps, owners, and delivery dates are followed from there.

The most common break after the signature is this: sales considers its work done, and the site manager builds the job from scratch. The scope, payment plan, and delivery date in the contract reach the site manager in a separate file, often incomplete.

In Corex360 the quote and the contract sit on the same customer card, and the project sits in the projects tab of the same record. Structural works, then finishing works, then handover preparation; the sequence runs on the record, not on the phone. If the delivery date is near and the step is still open, the rule opens a task for the owner and carries the matter into the morning briefing. The delay shows before it becomes a delay, not after the site is finished.

04.

How do interim payments and invoices sit on one record?

Short answer

Interim payments (hakediş) mean measuring the work done against the contract and turning it into payment period by period; when the contract, the payment file, and the invoice sit on one card, nobody has to search for what a payment is for.

Interim payments are a concept used most in construction. Between the client and the contractor, the work completed in each period is measured, priced by the contract's unit rates or the lump-sum programme, and tied to payment. The same relationship exists between the main contractor and the subcontractors. In most firms the payment file is prepared in a separate spreadsheet. How the interim payment itself is calculated is discussed against your existing setup; Corex360's job is to keep that file tied to the contract, the project, and the invoice.

The sums are usually right; what breaks is their link to the contract and the site. Quantities come from the real state of the site, unit rates from the contract, payment details from accounting. If these sources sit in different places, the same question comes back every period: which contract and which work does this amount belong to?

The signed contract sits in the Contracts tab of the customer card, and the document and the interim payment file are kept in Corex Drive, tied to the record.

How a project opens once a quote is accepted is explained in from accepted quote to project.

05.

How does the site crew report to the office?

Short answer

The site crew enters the report on site, from the phone, with photos; the office sees it in the morning briefing without calling anyone.

The site manager's day runs on the phone: has the material arrived, when is the concrete pour, was the scaffolding checked. The office calls the site manager too: how is it going, can you send a photo, who is on site today. None of these conversations goes on record. In Corex360 the site report is entered from the phone with photos and tied to the project. Vehicle tracking and the attendance device connect to the same core. We told this day from site to office hour by hour, as what construction CRM software looks like in the field.

06.

How does the customer relationship continue after handover?

Short answer

After handover, final acceptance, the snag list, and the warranty period carry on on the same customer record, and the next job is born from that record.

In construction, handover is not a close. At provisional acceptance the outstanding works are listed and expected to be fixed before final acceptance. In the meantime an owner reports a crack, a leak, or a door that will not shut. Because these reports arrive after the site has closed, it is often unclear whose desk they should land on.

In Corex360 the report lands on the same customer card whichever channel it comes from, is assigned to an owner, and comes forward if it goes unanswered. The snag list stays as open steps of the project, each visible on the list with its owner. The same card is also where the next job starts: when a satisfied client calls again for an annex or a new plot, the earlier quote, contract, and handover photos open beside the call.

07.

How do we use this on our own sites?

Short answer

Corex360 is the technology company of Savaş Grup, which grew in construction, architecture, and pools; we use the product in the group's own work first.

We built Corex360 not at a software company's desk but inside a group that runs building sites. Savaş Grup grew in construction, architecture, and pools, and we lived the same problems in our own work: information scattered across systems, processes came to depend on individuals, and managers spent more time gathering information than deciding.

That is why these flows were not designed on paper. Tying the survey photo to the quote, the contract to the project, and the invoice to the contract is the order we use every day in the group's companies. In the demo we talk about your own survey, your own quote, and your own site.

08.

Where do progress payments and contracts sit in Corex360?

Short answer

In Corex360 progress payments run with the contract; the contract card holds the type, amount, start and end dates and the person who created it.

The contract's status is tracked as Draft, In progress, Active, Pending or Completed, and there are contract templates and template categories. Projects and finance open from the Projects and Finance tabs of the customer card. Interim reports go to the customer during the project, and the customer follows its status on the web. The group's architecture firm, Vesya Architecture, runs presentations, proposals, contracts, projects and customer follow-up in Corex360.

Frequently asked

01What is a CRM for construction companies?

A CRM for construction companies is software that does not end the customer relationship at the signature; it joins survey, quote, contract, site, and invoice records on one customer and project card. The sales team, the site manager, and accounting look at the same record of the same job.

02How does a construction CRM differ from project management software?

Project management software looks at how the work is done: steps, owners, dates. A CRM looks at who the work is for: customer, quote, contract, correspondence. In construction, when the two do not share a record, the site knows nothing of the customer and the customer nothing of the site.

03Where does the interim payment file sit in Corex360?

The interim payment file is kept in Corex Drive, tied to the contract, and the contract, invoice, and payment plan sit on the same customer card.

04Are subcontractor relationships kept in the CRM?

A subcontractor is a company record too, with its contract, invoices, and correspondence on its own card. Which project and which contract the subcontractor works under is read from the company card, and when the same firm is chosen again for the next project, its history comes with it.

05How does the site manager use the app on site?

The site manager opens the project in the Corex360 iOS or Android app and enters the photo and note. The report is tied to the project and the customer card. No report has to be written at the office in the evening.

06How are customer records kept on build-for-share deals?

On a build-for-share deal the landowner, their representative if any, and the flat buyers are different people tied to the same project. Each is kept on their own contact record with conversations in date order, and the project stays the common point for all of them.
