Managing Instagram DMs as a team means gathering the direct messages sent to a business account in a shared inbox, assigning each conversation to an owner, and moving what you learn about the customer into the company's record. One person answering from a phone works while messages are few. Once messages grow and several people start logging into the same account, unanswered messages and messages answered twice appear side by side.
01.Why can't Instagram DMs be run from a single phone?
On a single phone you cannot see who is looking at which message, the password passes between several people, and even a price question never reaches a sales record.
Example scenario: picture a workshop in Antalya that makes wedding and evening dresses. Someone comments under a photo of a design, and then a DM arrives: price, fitting date, size. If the owner and several staff all use the account with the same password, different people might quote different prices on the same message, while another message might get no answer at all.
Sharing the password also has a security side. A departing employee still knows the password, and when it is changed the new one has to be handed round again. Because the account does not show who sent which message, the source of a wrong answer cannot be traced.
02.How do a business account and a messaging connection work?
Connecting Instagram messages to software requires a professional account; Meta's messaging interface does not support personal accounts, and the connection runs under the rules Meta documents.
According to Meta's developer documentation, the Instagram messaging API lets an Instagram professional account exchange messages with its customers, potential customers, and followers. The documentation also states two rules plainly: a business can reply to a message a user sends within a set window, and new conversations from people who do not follow the account land in the Requests folder.
The second rule changes a lot in practice. A first-time customer's message does not show in the main list; it waits in the Requests folder, and if nobody checks that folder, the message goes unseen. The reply-window rule gives one more reason not to delay an answer. The window itself and its exceptions are kept up to date in Meta's documentation.
03.How is work shared in a shared inbox?
Each conversation is assigned to an owner, unassigned conversations show separately, and everyone filters out their own; that way no message gets two answers and none is left without an owner.
A shared inbox takes the place of password sharing: everyone logs in with their own user and never needs the account password. Keep the assignment rule simple. At the workshop, price and design questions could go to sales, fitting-date questions to the workshop manager, and delivery questions to whoever owns that order. As channels multiply, the same principle applies to WhatsApp and web chat. You can read how several people write from one number in WhatsApp for teams. The general name for bringing channels into one arrangement is omnichannel communication.
04.How does a price question in a DM turn into a sale?
A DM asking about price or a product is a sales opportunity; the conversation is converted into an opportunity, its source is recorded as Instagram, and the quote is prepared on the same customer's record.
Most questions on Instagram start short: 'price?', 'does this design come in another colour?'. So they are not taken seriously and never recorded. Yet the same person asks about a fitting date a week later, then comes back asking about the deposit. If the first message was never recorded, nobody knows which channel the sale started from.
Recording the source also shapes marketing decisions. The workshop can see which post or which channel really turns into orders only if the source is written on every opportunity. The return on the effort put into preparing posts also becomes readable through that record.
05.Are Instagram comments and DMs handled the same way?
A comment is public and is the brand's shop window; a DM is private and is where the sale moves forward. Inviting a price question from the comments into a DM brings the record and the conversation into one place.
Comments sit in front of everyone, and so does the reply to a complaint. That is why replies to comments are kept short and general, and the detail is moved to a private message. Writing prices in the comments means the old answers stay on the page when prices change. The move from a comment to a DM is the moment the record begins. The workshop may reply to the comment with 'we'll send the details by message'; if the DM arrives, the conversation can be turned into an opportunity.
06.How is customer information in DMs protected?
Phone numbers, addresses, and body measurements shared in DMs are personal data; they should not spread to personal phones through screenshots but stay on the customer's record, behind access permissions.
Messages reaching the workshop by DM often carry personal information: a phone number, a delivery address, a wedding date, body measurements. If these are screenshotted, sent to an employee's personal WhatsApp, and passed on from there to the sewing team, nobody can trace who holds what. If the customer one day asks for their information to be deleted, nobody knows where it went either.
KVKK, Turkey's Personal Data Protection Law, treats the company that decides the purpose and means of processing personal data as the data controller, and information gathered in DMs falls within that responsibility. If the information sits on the customer's record, it is clear who accessed it, and a deletion request can be met from one place. Information unrelated to the order is never recorded at all. This section is general information; consult your legal adviser about your own business.
The team rule should be written down too: which field holds measurements and addresses, where photos are kept, and what happens to this information once the order closes. Without a written rule, even a well-meaning employee moves the information along the shortest path, onto their own phone.
07.How are Instagram messages managed in Corex360?
Corex360's Messaging window gathers WhatsApp, Instagram, and web chat in one inbox; each conversation is assigned to an owner, and a thread can be converted into an opportunity that carries the opportunity number badge.
In the Messaging module, Instagram DMs, WhatsApp Business, and web widget messages sit in the same window, and the channel is chosen from the strip on the left. Above the conversation list are a search box, a line selector, and an Assigned to me filter. Messages can be forwarded, voice messages recorded, and messages and media searched.
Each conversation is assigned to an owner. When a thread is converted into an opportunity, the opportunity number badge appears in the list and in its header, and the opportunity's source is kept on the record, with Instagram among the source options. The same module also offers post planning and scheduling and connects Facebook and Instagram accounts. The Messaging module page shows the whole window.
Your account type and the connection conditions on Meta's side are checked together before setup.

Frequently asked
01What is Instagram DM management?
Instagram DM management means gathering the direct messages sent to a business account in a shared inbox, assigning each to an owner, and linking it to the customer record.
02Is it safe to share the Instagram account password with the team?
It is not advisable. A departing employee still knows the password, and the account does not show who sent which message. A shared inbox lets everyone log in with their own user.
03Can a personal Instagram account be connected to software?
Meta's messaging interface works with professional accounts; a personal account cannot use this connection. The account type can be switched to a professional account in Instagram's settings.
04Why doesn't a message from a non-follower show up?
New conversations from people who do not follow the account land in the Requests folder. If nobody checks that folder, a first-time customer's message is missed.
05Is there a limit on replying late to DMs?
Meta states that a business can reply to a user's message within a set window. The window and its exceptions are kept up to date in Meta's developer documentation.
06Can Instagram posts be scheduled in Corex360?
The social media management part of Corex360's Messaging module offers post planning and scheduling and connects Facebook and Instagram accounts.
WhatsApp, Instagram, and web chat gather in one inbox; the WhatsApp line connects through Meta's official cloud API.
