A shared mailbox is an inbox where several employees read and answer the mail sent to a company address such as sales@ or support@ from one list, and where every message has an owner. A personal mailbox belongs to one person; a shared mailbox belongs to the team. The real split starts with ownership.
01.What exactly is a shared mailbox?
A shared mailbox is an inbox where a team sees the mail sent to one company address in a single list and gives every message an owner.
Example scenario: Picture a furniture showroom in Istanbul. The contact form on its website lands in the quotes@ address. In the morning every sales adviser looks at that inbox: one answers the customer asking about a dining set, another the architect asking for a trade price, another the returning customer asking about a delivery date. One address, many readers.
Most business email services set up a shared mailbox as a shared inbox. Each employee signs in with their own account and no password is shared. That way you can tell who opened which message and who replied.
For a shared mailbox to work, every message needs an owner and a status. The owner says who will reply. The status shows whether the message is waiting, answered, or closed. Without these, a shared mailbox is just a personal inbox that several people happen to look at.
02.How is it different from a personal mailbox?
A personal mailbox works like one employee's memory, a shared mailbox like the team's; when the employee leaves, the first closes and the second stays.
In a personal mailbox the correspondence lives with the employee. When the sales adviser goes on leave, the customer gets an auto-reply and waits. When the adviser leaves the company, the mailbox is either closed or handed to a manager, who then digs through a backlog of threads to find which customer is still waiting for an answer.
- Ownership: a personal mailbox belongs to the employee, a shared one to the team.
- Visibility: only the owner sees a personal mailbox, every authorised person sees the shared one.
- Continuity: the correspondence in a shared mailbox stays when people change.
- Responsibility: every message in a shared mailbox needs an owner; without one, the inbox becomes nobody's job.
A personal mailbox is not a bad thing. Private threads with a business partner, a job interview, or a manager's note belong there. A shared mailbox is for correspondence between the customer and the company: mail that comes to the company and is answered on its behalf. The same split holds in how the mailboxes are connected: the addresses where customer mail arrives are connected to the shared mailbox, and personal correspondence stays in the employee's own mailbox.
03.Where does a shared mailbox get stuck?
A shared mailbox gets stuck when nobody knows who should reply and when the reply stays cut off from the customer record.
The first blockage is the lack of an owner. Several people read the morning message, and each assumes someone else will reply. The message shows as read but has not been answered. Or the opposite happens: two advisers reply to the same customer with different prices.
Another blockage is disconnection. The mail stays in the inbox and never reaches the customer's record. The same customer writes on WhatsApp in the afternoon, and the adviser who answers does not know about the morning email. We covered the messaging side of this gap in our piece on WhatsApp conversations missing the card; email suffers the same way.
The quietest blockage is that nothing can be measured. At month end, when someone asks how many quote requests came in and how many went unanswered, the only answer is to count the inbox by hand. Nobody does.
04.What changes when email is tied to the customer record?
Once email is tied to the customer record, an incoming message sits on the customer's card and timeline rather than in an inbox.
The real gap in a shared mailbox is that it does not store a message together with who it belongs to. The message arrives at an address, not at a customer. The link that closes this gap is generally called CRM email integration: incoming mail is filed on the sender's customer record.
In Corex360, corporate email connects to the core. WhatsApp and Instagram are gathered in one inbox in the Messaging window. Email, messages, and calls also link to the same person. When the showroom adviser opens the customer's card, the morning email, the midday WhatsApp photo, and the evening call sit on one timeline.
The shared mailbox stops being a list and becomes the customer's story. Even when the adviser is on leave, the story stays on the card, and whoever covers picks up where it left off.
Email tied to the record can also be followed up. An unanswered quote request is not hunted down by hand at month end; it moves to the top of the list the next morning.
05.Who assigns the owner, and how does an unanswered message show up?
In Corex360 the assistant X AI reads incoming email, classifies it by subject, and routes it to the right team; an unanswered conversation moves to the top.
Example scenario: Think of the info@ address of a company in Kocaeli that sells industrial spare parts. One morning the same inbox holds a quote request, an invoice dispute, and a delivery complaint. Sorted by hand, each message waits on someone's desk for hours.
X AI, the Corex360 assistant, reads incoming email, finds the customer card from the sender, and classifies the subject: the quote request goes to sales, the invoice to accounting, the complaint to its owner. An unanswered conversation moves up and is assigned to its owner; it also appears in the next morning's report. We describe the work X AI takes on in detail on the leave the process to the assistant page.
The decision stays with you. The quote or reminder for the customer is prepared as a draft and goes out with your approval. X AI reminds and sorts; you give the price and the promise.
For the showroom team the meaning is simple: the adviser who opens the inbox in the morning sees what has landed with them and leaves other people's work alone. The same customer does not receive two different prices; whoever gives the price has already seen the earlier thread on the card.
06.What do you decide when setting up a shared mailbox?
You decide up front which addresses are shared, who sees what, and whose desk an unanswered message reaches.
- Address: separate shared addresses for sales, support, and accounting, or a single one.
- Access: which role sees which inbox and which customer cards.
- Classification: which subject goes to which team; quote request, invoice, complaint.
- Escalation: when an unanswered message reaches a manager.
Email carries personal data: names, phone numbers, addresses, sometimes a contract. In Corex360 access is role-based and logged. The data is kept in a company-specific space on Corex360 Cloud or on your own server; the same security layer runs in both cases. Starting with a single address is often enough. In the showroom example the quotes@ address connects first; the team sees how classification works in the first days, then the support and accounting addresses are added. Whenever a subject goes to the wrong team, the rule is corrected accordingly.
07.What does the demo show?
In the demo you watch how an email sent to your own company address lands on the customer card.
Company email connects to the Corex360 core, and email, messages, and calls link to the same person. The X AI assistant reads incoming email, finds the customer card from the sender, and classifies the topic: a quote request goes to sales, an invoice to accounting. A conversation left unanswered rises to the top, is assigned an owner, and shows in the next morning's report. Setup usually starts with a single address, such as quotes@.
08.How does the Email module work in Corex360?
Corex360's Email module is a full mail client, and Gmail (Google Workspace) accounts connect to it.
The module has inbox, sent, drafts, junk, trash and starred folders, labels and account settings. Once company email is connected, X AI reads incoming email, matches the sender to the customer card and files it there. X AI never replies to a customer on its own; it prepares a draft, and sending needs approval. In our group companies, when a quote goes out the email is sent automatically and the follow-up runs automatically.

Frequently asked
01What is a shared mailbox?
A shared mailbox is an inbox where mail sent to a company address is read and answered by several authorised employees from one list. It belongs to the team, not a person, so the correspondence stays when people change.
02Is a shared mailbox the same as a group address?
No. A group address sends a copy of each message to every member's personal mailbox; each copy lives separately and nobody can see who replied. In a shared mailbox there is one message, and its status is visible in the same place to everyone who reads, replies, or waits.
03Is it a problem if everyone uses the same password for the shared mailbox?
Yes. Everyone on the same password looks like the same person; you cannot tell who deleted or answered which message, and the password has to change whenever someone leaves. In a proper setup each employee signs in with their own account and access follows their role.
04What happens to customer emails in a leaver's personal mailbox?
The personal mailbox is usually handed to a manager or archived, and whoever takes it over combs through the threads one by one. If customer emails are filed on the customer record from the start, the handover is lighter: in Corex360 an email filed on the card stays there when the employee changes.
05Shared mailbox or help desk ticketing?
They approach the same need from different sides. A ticketing system gives each message a number and tracks its status; a shared mailbox keeps the correspondence in front of the team. For a team focused on sales and customer relationships, what matters is that the message is tied to the customer card rather than to a ticket number.
06If the same customer writes by email and on WhatsApp, how are they recognised?
In Corex360, messages, calls, and email link to the same person, and the date of the last contact is read from the card.
WhatsApp, Instagram, and web chat gather in one inbox; the WhatsApp line connects through Meta's official cloud API.
