Quote template: fill it in and print it in your browser
This free quote template is a form that needs no sign-up and runs in your browser. You type in the quote details and the line items; amounts are calculated from the quantity, price, and VAT rate you enter, and the quote is printed or kept as a PDF or CSV. The template holds no preset prices or rates.
Prepare your quote
The form has three parts. In the quote details you enter the firm, the customer, the quote number, and the dates; in the line items table you enter a description, quantity, unit, unit price, and VAT rate on each row, adding lines as needed. The subtotal, VAT, and total are calculated from what you enter. After the terms and note fields you can print the quote, save it as a PDF, or download a CSV.
What goes into a quote?
A good quote carries enough information for the customer to decide without asking questions. Who is quoting whom, the quote number, date, and validity date, the line items with quantity, unit, unit price, and VAT rate, and the payment, delivery, exchange rate, and stock terms are all part of that information. The template's fields, and why each one is needed:
- The firm issuing the quote and the person who prepared it: the customer knows whom to come back to.
- The customer and the contact person: it is clear whom the quote is for.
- Quote number and date: later versions and correspondence refer back to this number.
- Validity date: the day until which the price holds is written down.
- Line items: what will be supplied, the quantity, unit, unit price, and VAT rate.
- Terms: payment, delivery, exchange rate and stock conditions, and what happens after the validity date.
How do you use the template?
The template is used in five steps. You fill in the header details and type the currency as text; for each line you enter the description, quantity, unit, unit price, and VAT rate. The line amount and VAT are calculated by themselves, and the totals update. After writing the terms, you print the quote or download a CSV. What you enter is processed only in your browser and is gone when the page closes.
- Fill in the header details; type the currency as text.
- Enter the description, quantity, unit, unit price, and VAT rate for each line. You set the rate for your own situation; the tool does not suggest one.
- The line amount is quantity times unit price; VAT is calculated on each line at its own rate, and the totals update by themselves.
- Write the terms, then print the quote or choose "Save as PDF" in your browser's print window. Download the CSV to keep it as a spreadsheet.
- What you enter is processed only in this tab, in your browser; it is not sent anywhere and is gone when the page closes.
Download the blank template
If you prefer to prepare the quote in your own spreadsheet, you can download the blank template with the same fields as an Excel file or a UTF-8 CSV file; it holds only headings, with no prices or rates.
This template is for information and convenience. VAT rates, invoicing, and contract terms depend on your business and the applicable rules; for a definite answer consult your accountant.
If you would rather keep quotes on the customer record than in separate files: in Corex360 CRM (customer relationship management) the quote sits in the Quotes tab of the customer card; the quote list has a validity date and an approval column, amounts can be in a foreign currency, and the quote language is selectable. See the Corex360 CRM page. How to write a quote is covered in how to prepare a quote.
How do you cite this page?
If you use this page in an article, a report, or a class, you can copy the plain-text or APA citation; both carry the page title, the date it was last checked, and the version link. The date in the citation is the day the content was last checked; the version link points to the content as of that day, and a new dated line is added to the version history whenever the content changes.

Related questions
- How do you set a quote's validity period, and how do you write it?
- In the private sector the party making the quote sets its validity period; it is chosen by how stable the conditions behind the price are and how long the customer takes to decide, and it is written on the quote as a clear end date.
- Is a price quote the same as a proforma invoice?
- No. A price quote is a sales document waiting for the customer's approval; a proforma invoice is usually a preliminary invoice issued after agreement, for payment or import procedures.
- Should a quote be sent as a PDF?
- A PDF keeps the layout intact and is easy for the customer to keep. The file can be a PDF or something else; what matters is that the version you sent is stored on the customer's record.
- How should a discount be shown on a quote?
- If the discount appears as a separate line next to the list price, the customer sees what they are gaining. Who approved the discount, and why, should also be kept on the internal record.
