What is a sales funnel?

A sales funnel is a model that splits a team's open deals into stages, from first meeting to close, and shows how many deals wait at each one. Prospects are many at first contact and fewer at every later stage. Its real value is showing where a deal has waited longer than usual.

What is a sales funnel for?

A funnel lines up every deal the team holds by the stage it has reached. The question a manager asks each morning is usually the same: which deals can close this month, which are waiting on a quote, and which have not moved at all. The funnel answers it stage by stage. It takes its name from its shape. There are many prospects at first contact; some drop out or stall at each stage, and fewer reach signature. That narrowing is normal. What deserves attention is a deal sitting in one stage for longer than usual, because that is where a blockage shows.

What are the stages of a sales funnel, and how does it work?

A sales funnel starts with the company naming its own sales steps, such as first meeting, needs analysis, quote, negotiation and close. Each opportunity carries its current stage and owner, and how many deals wait at each stage and for how long is tracked. The deal is won or lost, and when the reason for a loss is written down, the weak stage shows.

  1. Stages are named

The company writes down its own sales steps, such as first meeting, needs analysis, quote, negotiation, and close. Each stage should be a step everyone on the team reads the same way.

  2. Each deal gets a stage

Each opportunity record carries its current stage and its owner. The stage is updated as the deal moves.

  3. Waiting time is watched

The team watches how many deals wait at each stage and how long a deal has stayed put. A deal that waits too long needs a reminder or a manager's help.

  4. The outcome is recorded

The deal is won or lost. Writing down why a deal was lost shows which stage needs work in the next period.

An example

Take an air conditioning service firm. Requests from the web form land in the first meeting stage; jobs that get a site visit move to needs analysis, and jobs with a price move to quote. Mid-month the manager looks at the funnel and sees deals piling up at quote with no reply. Requests and site visits are fine; nobody called the customer after the quote went out. The fix sits in that stage too: a reminder call a few days after the quote.

How it looks in Corex360

In Corex360, a WhatsApp, Instagram, or web chat can be turned into an opportunity, and the conversation then carries the opportunity number as a badge. Opportunities sit in the Opportunities tab of the customer card and in the open opportunities box on the Overview. X AI reminds you of quotes with no reply, and anything sent to a customer goes only with approval. X AI sends a briefing every morning. How opportunities are shown by stage is shown in the demo.

Terms often confused with it

Customer lifecycleA funnel tracks the stages of one deal. The lifecycle tracks the stages of the customer's whole relationship with the company. A loyal customer's new deal can still start at the first stage of the funnel.
Sales pipelinePipeline and funnel are often used interchangeably. Pipeline usually means the list of a salesperson's open deals, while funnel describes how the numbers narrow from stage to stage.

FAQ

How many stages should a sales funnel have?

There is no fixed number. Stages come from the company's real sales steps. If the team cannot say when a stage ends, that stage is either unnecessary or should be split.

Is a sales funnel the same as a sales forecast?

No. The funnel shows where deals are. A forecast predicts which of them will close in which period, and it usually rests on each opportunity's expected close date.

Should a small team use a sales funnel?

It helps a team of a few salespeople too. Keeping the stages few and giving every deal an owner makes the funnel readable at a glance.
