What is contract management?
Contract management is the work of tracking a signed contract's start, end, renewal, and notice dates and its obligations by tying them to an owner. Storing the file is only part of it. The aim is that every clause is dealt with when its date comes.

What problem does contract management solve?
A signed contract often goes into a folder and is forgotten. Trouble starts when a date arrives: the renewal window passes, notice of termination is not given in time, or the price review clause is never applied. Contract management takes those dates and clauses out of the file and ties them to the calendar and to an owner.
The second gain is access. Sales, accounts, and operations each look at different parts of the same contract. When the contract sits next to the customer record, nobody searches the email archive for the signed copy; whoever has permission opens it.
How does contract management work?
Contract management starts with preparing the contract from an accepted quote or a template, with scope, price and term consistent with the quote. It passes internal approvals, is signed, and the signed version is added to the record. Start and end dates, the renewal condition and the notice period are written down; as the end nears a task goes to the owner, and the decision stays on record.
- Drafting
The contract is drafted from the accepted quote or from a template. Scope, price, and term should match the quote.
- Approval and signature
It passes the internal approvals it needs and is signed with the customer. The signed copy is added to the record.
- In force
Start and end dates, renewal terms, and the notice period are recorded. These dates drive reminders.
- Renewal or end
As the end date approaches, a task goes to the owner. The contract is renewed, amended, or closed, and each decision stays on the record.
An example
A lift maintenance firm holds annual service contracts with building managers, and each contract states a notice period before renewal. While the contracts sat in a folder, some of them expired unnoticed and the firm found out on the service visit. Once end dates are on the record, a task reaches the sales rep before the notice period starts and the renewal talk happens on time.
How it looks in Corex360
In Corex360 CRM, the contract is kept in the same record as the customer, contact, opportunity, and quote, and active contracts are listed in their own box on the customer card. The signed contract file sits in Corex Drive inside the record it belongs to; files are permission-bound, and every view and download is logged. The contract's start and end dates sit on the contract card; X AI stops to ask on contract decisions. How the notice period and renewals are followed is settled in the demo.

Terms often confused with it
| Document management system | Document management stores files and makes them findable. Contract management follows the dates and obligations inside the file; the file is only one part of the job. |
|---|---|
| Quote tracking | A quote is the price offer to the customer and becomes the basis of the contract once accepted. Quote tracking runs up to acceptance; contract management takes over after signature. |

FAQ
Do you need separate software for contract management?
If there are few contracts and the dates live in a calendar, perhaps not. If contracts need to be read alongside the customer, the quote, and the invoice, keeping them in the CRM removes the work of matching records across separate tools.
In contract management, how do you avoid missing a renewal date?
Record the end date and notice period in date fields and attach a reminder rule to them. If the reminder goes to a role rather than a named person, the task still has an owner when staff change.
In contract management, who should have access to signed contracts?
The roles that work with the contract, usually sales, accounts, and management. Access is granted by role and every opening is logged; in a dispute, that log is the first place to look.
