Customer tracking software

# Customer tracking software: the whole history on one card.

Customer tracking software is a tool that keeps the meetings, quotes, contracts and files about a customer on one record. In Corex360 that record is the CRM (customer relationship management) customer card: contacts, representatives, tasks, opportunities, quotes, contracts, projects, files and meetings sit in its tabs. Messages, calls and email link to the same person, so the date of the last contact is clear.

Short answer

Corex360 customer tracking is the customer card inside the CRM: the lifecycle and relationship score sit at the top, opportunities, quotes, contracts, projects, files and meetings in tabs, and messages, calls and email link to the same person.

When choosing customer tracking software, first ask whether everything about a customer sits on one record. If the meeting note is in a notebook, the quote in an Excel file, the contract in a folder, the last email in an inbox and the WhatsApp thread on a salesperson's phone, what you have is a scattered archive. In Corex360 that record is the CRM customer card. Its header shows the customer's lifecycle, relationship score and assigned representatives; contacts, tasks, opportunities, quotes, contracts, projects, files and meetings sit in its tabs. Because messages, calls and email link to the same person, the last contact's date is on record. The contract's start and end dates show on the card too, so the renewal day does not rely on memory. Invoices are issued in the Accounting module on the same core. Existing customer records move over when you switch. Access follows the role, and data is kept in a company-only space on Corex360 Cloud or on your own server.

Today

## Why does customer history stay with the salesperson?

The customer sits in a spreadsheet or a customer tracking book, the conversation on a salesperson's phone, the quote in an email, the contract in a folder. Who talked to whom and when, which quote is open, which contract is ending: these questions go to someone every time, because the answer is not in one place. When the salesperson is on leave the customer explains everything again, and a hot lead with no clear caller goes cold.

### A list, but no history

The customer row in a spreadsheet holds a name and a phone number; meetings, quotes and contracts live in other files.

### Conversations stay on phones

The thread with the customer sits in a salesperson's pocket; when that person is on leave, the customer explains everything again.

### A hot lead goes cold

If nobody knows who should call, an interested customer is left without follow-up and nobody notices.

The customer card

## From contacts to contracts, everything in a tab.

At the top of the Corex360 customer card sit the lifecycle stage, the relationship score, the assigned representatives and this week's tasks. The tabs open the customer's whole record. The overview lists recent opportunities, key notes and recent activities; open opportunities, active contracts and open tasks sit in separate boxes.

- **Lifecycle** The card marks which stage the customer is in: prospect, in contact, opportunity, customer or loyal customer.

- **Tabs** Overview, contacts, representatives, tasks, opportunities, quotes, contracts, projects, finance, files, Drive, meetings, activities, logs and portal access.

- **Contacts linked** Messages, calls and email link to the same person; the date of the last contact is clear. How the channels connect is on the [Unify channels](https://www.corex360.com/en/solutions/unify-channels) page.

- **Open work in boxes** Open opportunities, active contracts and open tasks sit in separate boxes; recent opportunities, key notes and recent activities are listed on the overview. The whole card is on the [CRM (customer relationship management) software](https://www.corex360.com/en/modules/crm) page.

The customer list

## Who to call shows on the list.

In Corex360 the customer list opens as a list or a kanban; it can be grouped and filtered by status, and it carries individual and corporate badges. The opportunity screen counts unanswered opportunities, those with no planned activity and untracked hot ones separately; where the customer came from stays on the opportunity, and their files sit in the Files and Drive tabs of the card.

- **Untracked opportunities counted** The opportunity screen counts unanswered opportunities, those with no planned activity and untracked hot ones separately.

- **Source on record** Where the customer came from stays on the opportunity: WhatsApp, website, email, phone, referral, office or site visit.

- **Activity screens** The activity center, my tasks, meetings, appointments, notes and the agenda sit inside the CRM ([customer relationship management](https://www.corex360.com/en/blog/what-is-crm)); customer support tickets are in the same module.

- **Files on the record** The customer's files sit in the Files and Drive tabs of the card, inside the record they belong to.

How it works

## How does customer tracking software work?

In Corex360 the customer is written once and the history builds up on the card. The card opens from the quick-create menu on the start screen, and existing records are moved over together. The assigned representatives are written at the top of the card; messages, calls and email link to the same person. Opportunity, quote and contract sit in the card's tabs, and invoices are issued in the Accounting module on the same core.

- 01 **The card opens** A new customer card opens from the quick-create menu on the start screen; existing customer and contact records are moved over together.

- 02 **A representative is assigned** The assigned representatives and the relationship score sit at the top of the card; who looks after the customer is written on it.

- 03 **Contacts build up** Messages, calls and email link to the same person; meetings and activities sit in their own tabs.

- 04 **Sales tie to the card** Opportunity, quote and contract sit in tabs of the same card; sales and purchase invoices are issued in the Accounting module, in the same core as the customer card.

What changes

## What changes when the customer is on one card?

Because meetings, quotes, contracts and files sit in tabs of the same Corex360 card, the customer's history stays with the company when a salesperson changes; unlike a note in a record book, it does not leave with one person. Because an opportunity with no planned activity is counted apart, a customer left without follow-up shows on the list. Access is role-based; each user sees only the records within their role and works on the card within that role.

### History on one card

Meetings, quotes, contracts and files in tabs of the same card.

### The untracked shows

An opportunity with no planned activity is counted apart.

### Everyone within their role

Access is role-based; each user sees the records within their role.

## See it with your own customer card.

We build the demo with your customer list, your representatives and your sales stages. In the call you watch a customer's card in Corex360, the open opportunity, quote and contract in its tabs, and the date of the last contact, using an example from your own customers. Corex360 modules

## Which modules feed the customer card?

The customer card is the record where the modules meet. The CRM (customer relationship management) holds the card, opportunity, quote and contract; Messaging links WhatsApp, Instagram and web chat, the PBX links calls, and Email links the connected Gmail account to the same person. Invoices sit in the Accounting module, projects in the Projects module, files inside the record in Corex Drive, and [Corex360 Security](https://www.corex360.com/en/security) manages access by role.

## Which details come up in the demo?

Some details of the Corex360 customer card are discussed in the demo call using your own data: which records the relationship score at the top of the card is built from, whether a departing salesperson's cards can be handed over to a new representative and how that is done today, which fields your spreadsheet is moved with, and whether a record from another channel can be matched to the same person.

- **Relationship score** Which records the score is built from.

- **Change of representative** Whether a departing salesperson's cards can be handed over, and how that is done today.

- **Data transfer** Which fields your spreadsheet is moved with.

- **One person** Whether a record from another channel can be matched to the same person, and how that is done today.

FAQ

## About customer tracking, what people ask.

The questions a team asks when looking at customer tracking software, and Corex360's answers.

** 01 What is customer tracking software? **
Customer tracking software keeps the meetings, quotes, contracts and files about a customer on one record. In Corex360 that record is the CRM customer card: the lifecycle stage and relationship score sit at the top, and contacts, opportunities, quotes, contracts, projects and files sit in its tabs. The daily routine is covered in [how to track customers](https://www.corex360.com/en/blog/customer-tracking).

** 03 Can we move our customer spreadsheet? **
Existing customer and contact records are moved into Corex360 together with you. What to check during the move is gathered in [the CRM migration checklist](https://www.corex360.com/en/blog/crm-migration-checklist).

** 05 What happens to a customer when the salesperson is on leave or leaves? **
Meetings, quotes and files sit on the customer card in Corex360, not on the salesperson's phone. The assigned representatives show at the top of the card.

** 07 How do I see which customer is left without follow-up? **
The opportunity screen counts unanswered opportunities, those with no planned activity and untracked hot ones separately. The customer list is filtered by status and grouped; when a rule breaks, X AI opens a task and assigns it.

** 09 What should I check when choosing customer tracking software? **
Check whether every channel lands on the same customer card, whether quotes, contracts and payments show on that card, and whether data is kept in the cloud or on your own server. In Corex360 WhatsApp, Instagram and web chat gather in one inbox, and messages, calls and email meet on the same customer card.

** 02 Is an account card the same as a customer card? **
An account card is accounting's record of what is owed; a customer card is the record of the relationship. In Corex360 sales and purchase invoices are issued in the Accounting module, in the same core as the customer card; access is role-based, and each user sees the records within their role. The difference is explained in [account card and customer card](https://www.corex360.com/en/blog/account-card-vs-customer-card).

** 04 What do the lifecycle and relationship score show? **
The lifecycle marks whether the customer is a prospect, in contact, an opportunity, a customer or a loyal customer. The relationship score and assigned representatives show at the top of the card.

** 06 Can the customer see their own project and quote? **
A customer panel can be opened for a company that is a customer; there they see their project, quotes and conversations and open support tickets. The card has a Portal Access tab for this.

** 08 Where is customer data kept, who sees it? **
The customer card sits on Corex360 Cloud or on your own server; the choice is written in the agreement. Access is role-based, each user sees only the records within their role, and personal data is processed under KVKK (Turkey's personal data protection law).
