# In a field service CRM, booking, report, invoice: the chain stays on one card.

Corex360 is a business application that, for work done at the customer's address such as air conditioning, lifts, generators, pest control, or cleaning, keeps the booking, visit task, and service photos on one customer record; invoices are issued in the Accounting module of the same core. WhatsApp, Instagram, and web chat are assigned an owner in one inbox; calls are made from the browser and tied to the caller's card. The day a periodic maintenance agreement runs out is read from its entry in the customer's Contracts tab.

## A booking in the morning, paper at night, questions at month end.

In the morning an office has an air conditioning service booked. Around ten a homeowner sends a photo of the living room unit dripping water. At noon accounts asks which of last month's service invoices is unpaid; in the evening a technician does not know when the maintenance visit, postponed for the morning's emergency, was moved to.

Whoever answers the phone writes the booking in their own diary, and the technician hears about the job in a WhatsApp group. "Not cooling" and "dripping water" need different parts, but the customer's own words never reach the record. The job comes back to the office on paper in the evening; if the paper is lost, no invoice is raised, and if it is raised, its due date lands on nobody's desk.

In Corex360 the booking message is assigned an owner in Messaging, and the visit sits in the Tasks tab of the customer card. A missed call shows in the [Call Centre](https://www.corex360.com/en/blog/call-centre-vs-pbx) list in the browser with its date, time, and duration. The service photo sits in that customer's record in Corex Drive, and accounts sees the job is done from the same card.

Workflow

## How does a service job move from the call to payment?

In service work the links of the chain are the booking, the site visit, the report, the invoice, and the payment; periodic maintenance restarts the chain each year. Each row takes one link: the point where it gets lost today, and the Corex360 record it settles into. The day's plan, the service van, and the missed call have rows of their own too.

Field service stages and Corex360 records
| Stage | In most firms today | In Corex360 | Read more |
|---|---|---|---|
| Booking request | Whoever answers writes the booking in their own diary; when the customer calls to confirm, nobody else can answer. | A WhatsApp message with a fault photo and a booking request from Instagram or web chat both land in the Messaging inbox and are handed to an owner; the visit becomes a task in the Tasks tab of the customer card. | [Unify your channels](https://www.corex360.com/en/solutions/unify-channels) |
| Missed call | Nobody calls back a call missed at a busy hour. | Calls are made from the Call Centre in the browser; outgoing and missed calls are listed with date, time, and duration, and each call is tied to the caller's card. | [Cloud PBX](https://www.corex360.com/en/modules/cloud-pbx) |
| Job description | The customer's own words and photo never reach the record; the technician hears about the job for the first time at the door. | The message about the dripping unit, the call about the fault, and the email all meet on that customer's record, which shows when you last spoke; the photo they sent sits on the same record in [Corex Drive](https://www.corex360.com/en/modules/corex-drive). | [Work order](https://www.corex360.com/en/glossary#is-emri) |
| The day's plan | An emergency changes the plan; the office knows one thing and the field another. | On the iOS or Android app the technician looks at the same core as the office; an emergency shows up as a task on the customer card they both open. | [Field and operations](https://www.corex360.com/en/solutions/field-operations) |
| Service report | The report comes back to the office on paper in the evening, or never. | The technician's service sheet and the photos taken on site are uploaded to that address's customer record in Corex Drive. | [Field service management](https://www.corex360.com/en/blog/field-service-management) |
| Invoice and payment | The invoice goes out days after the job; overdue payments wait for month end. | Invoices are issued in the Accounting module, in the same core as the customer card. ## The second visit to an address starts informed.

In a service firm the Tasks, Finance, and Files tabs of the card work together: every visit is a task, every report a file. When a different technician goes to the same address, messages, calls, and emails are tied to the same person, so earlier contacts and the date of the last one show on the card; the previous service photo is in Corex Drive.

Follow-up

## Who takes on the remembering in service work?

In service work the job that gets forgotten is usually an unanswered quote or a fault message that came in at night. [Corex360's assistant X AI](https://www.corex360.com/en/x-ai) watches rule-bound work; when something stalls it opens the task and hands it to an owner, and leaves decisions about money and contracts to you. For example, if the building manager does not answer the annual maintenance quote, a reminder note is prepared as a draft; a fault photo that arrives at night is assigned to a technician or someone in the office.

-

**What happened**
An annual maintenance quote went out

**What is missing**
No word back from the building manager

**In Corex360**
X AI flags the quote and drafts the note to the manager; it does not go out until you approve it

-

**What happened**
A fault photo arrives at night

**What is missing**
Nobody knows who calls back in the morning

**In Corex360**
The message is assigned to a technician or someone in the office, who sees it under the Assigned to me filter in the morning

The trade's vocabulary

## Which terms are used in technical service?

In technical service, the road from booking to invoice is discussed in these terms: work order, service sheet, periodic maintenance, fault log, route, and call-back. When the office and the technician use the same term, the service sheet and the work order describe the same visit. Work orders and field service management are also in the [glossary](https://www.corex360.com/en/glossary#is-emri).

**Work order**
The booking as it goes into the field: what is to be done, where, by whom, and with which materials. [In the glossary](https://www.corex360.com/en/glossary#is-emri).

**Service sheet**
The record of the work done, parts used, and readings taken; filled in on site, no detail gets lost.

**Periodic maintenance**
Planned maintenance at intervals set by contract; one of a service firm's steady income lines.

**Fault log**
The record opened with the customer's own words and photo about a problem; the technician prepares from it.

**Route**
The order of the day's visits, rebuilt when an emergency comes in. Its sales-side counterpart is the [route plan](https://www.corex360.com/en/glossary#rut-plani).

**Call-back**
Returning a missed call; the easiest job to forget unless it opens as a task.

Limits

## What does Corex360 do in technical service, and what is decided with you?

In technical service, Corex360 keeps the booking, visit task, and service photos on one customer record; it flags an unanswered maintenance quote and shows the term of the maintenance agreement in the Contracts tab. It does not promise e-invoicing or e-archive. How invoices are issued, how maintenance renewals are followed, the model of your fleet tracking system, and how the day's plan looks on the technician's phone depend on how your firm works and are decided with you.

### What Corex360 does in this industry

- Keeps the booking, visit task, and service photos on one customer record; each call is tied to the caller's card.

- Flags a maintenance quote nobody answered, and keeps the term of each maintenance agreement visible in the customer's Contracts tab.

- Does not promise e-invoicing or e-archive; spare parts warehousing and stock counts are outside the scope described for technical service.

### Topics for the demo

- How invoices are issued and how it works with your existing accounting software.

- How maintenance contract renewals are followed.

- Which invoice document type is issued depends on tax rules; settle it with your accountant.

- The model of your fleet tracking system; how vehicle maintenance and location are followed on screen.

- How the day's plan looks on the technician's phone.

- The phone line and number.

## See it with your own service day.

Bring your booking list and your latest service report; the demo follows the road from booking to payment on one record. In the call you watch a booking turn into a visit task, a service photo land on the customer record, and the term of a maintenance agreement, using an example from your own customers. You can send your booking list through the demo form or WhatsApp.

FAQ

## What service firms ask us.

### What is a CRM for field service firms?

For field service firms, a CRM (customer relationship management) is software that keeps the customer's address, equipment, maintenance contract, appointments, and what was done on each visit on the same customer record. In service work, information gets lost between two visits: what the last technician did, which part was changed, whether the invoice went out. A CRM lets the office and the field read those answers from the same place.

### How do field service firms use Corex360?

It links the booking message, the visit task, and the service photos on one customer record, and calls are tied to the caller's card too. Invoices are issued in the Accounting module of the same core; when a job is done, accounts learns it from the record, not from the paper the technician brings back in the evening.

### How should field service firms choose a CRM?

Look at how an emergency changes the day's plan: how does the new job reach a technician, and where does the office see it? Ask whether a technician going back to an address sees the previous visit, how invoicing starts when a job is done, and how maintenance contract renewals are flagged. If you run service vans: the vehicle tracking system connects to the Corex360 core, and live vehicle tracking shows in the Corporate Management module.

### What happens when an emergency changes the day's plan?

The emergency opens as a task on the customer card, and open tasks show in their own box on the Overview. Office and field look at the same record. How the day's plan looks on the technician's phone is on the topics for the demo list.

### What does a technician see before going back to an address?

Because messages, calls, and emails are tied to the same person, earlier contacts and the date of the last one show on the card. The previous service report and photo sit in that customer's record in Corex Drive, so the technician goes knowing what changed last time.

### How does invoicing start when a job is done?

Invoices are issued in the Accounting module of the same core; we do not promise e-invoicing or e-archive. How invoices are issued and how it works with your accounting software is a separate item on the same topic list. Settle which document type is issued with your accountant.

### How do we avoid missing renewals for maintenance contract customers?

The maintenance agreement lives in the Contracts tab of the customer card, not in one employee's calendar; its end day is read there and stays on record even if the person following it leaves. If the quote for the next term gets no answer, X AI reminds you, and it leaves price and contract decisions to you. A seasonal example is on the [pool and spa](https://www.corex360.com/en/industries/pool-and-spa) page.

### Do our service vans connect to Corex360 too?

The fleet tracking system is among the sources that connect to the Corex360 core. How vehicle and visit are read in one day is on the [Field and operations](https://www.corex360.com/en/solutions/field-operations) page.

Corex360 industry pages show how the same customer card fills up in different trades: pool and spa, architecture practice, construction, showroom and store, technical service and maintenance, manufacturer and dealer network. Each page gives that trade's stages, where work most often breaks, the follow-up rules and the trade's own terms in the same order; the core is the same in every industry.
