# What is company asset tracking (zimmet)?

Asset tracking, called zimmet in Turkish workplaces, is the practice of recording which employee received which company item, such as a laptop, phone, key, or tool, on what date and in what condition, and when it came back. Responsibility changes hands at handover. The return list on leaving comes from this record.

## Short answer

## Why track company assets?

The moment a laptop, a phone, a measuring device, or a key is handed over, responsibility changes hands too. A company that does not record that moment ends up trying to remember who had the item when it goes missing or gets damaged. Asset tracking fixes the moment with a date, the condition, and the employee's confirmation.

The same record is used when someone leaves. The list of items to hand back is ready; anything missing is discussed and each returned item is ticked off. When the item goes to a new starter, its history goes with it.

## How is asset tracking done?

Asset tracking starts with listing company equipment by serial number, type and condition. When an item is handed to an employee, the date, condition and accessories are written down and the employee confirms receipt. Faults, swaps or transfers go onto the same record; a returned item is checked and the record closed, so on leaving it is clear that nothing is still outstanding.

- **Inventory** Company equipment is listed with its serial number, type, and condition.

- **Issue** When an item is issued, the date, condition, and any accessories are recorded, and the employee confirms receipt.

- **Changes** Faults, replacements, and transfers to someone else go on the same record, so it is always clear who has the item.

- **Return** When the item comes back, its condition is checked and the record is closed. On leaving, it is clear that nothing is still outstanding.

## An example

A field service firm issues its technicians a measuring device and a tablet. A technician who is leaving hands back the tablet, but the measuring device is forgotten. Where assets are tracked, the outstanding item shows on the list on the last day and is collected there and then. Without a record, the firm only notices when someone looks for the device on the next job.

## How it looks in Corex360

In the Corex360 Human Resources module, assets are held on the staff card. Access is role based; each user sees only the records within their role's scope. The detail of handover and return records is shown in the demo.

## Terms often confused with it

| Fixed asset register | The fixed asset register is the accounting list of what the company owns. Asset tracking shows which employee is responsible for each item; the same item appears in both. |

| [Personnel file](https://www.corex360.com/en/glossary#ozluk-dosyasi) | The [personnel file](https://www.corex360.com/en/blog/what-is-a-personnel-file) holds an employee's hiring documents and personal paperwork. The asset receipt often goes in that file too, but asset tracking follows the item. |

## FAQ

### Which items go into asset tracking?

Anything issued to an employee personally that is expected back, such as a computer, phone, SIM, key, access card, measuring device, workwear, or protective equipment. Shared items are assigned to a team rather than to a person.

### Why should the employee confirm the asset receipt?

A record the employee has confirmed is the clearest way to show that an item was handed over and in what condition. It is what both sides refer to in a dispute; ask your adviser about the legal side.

### Can asset tracking be done in a spreadsheet?

With few items, yes. As items change hands and the team grows, keeping the sheet current gets harder. When the record sits on the staff card, anything outstanding is visible on the leaving date.
