# What is CRM email integration: how correspondence links to the customer record

CRM email integration is the link between the correspondence in a company email account and the relevant customer, contact, and opportunity record, so that a conversation with a customer sits in a shared record rather than one person's inbox.

CRM email integration links the incoming and outgoing correspondence in a company's email account to the relevant customer, contact, and opportunity record. The correspondence does not stay in a salesperson's personal inbox; it sits on the customer's card, on the same timeline as every other contact. The integration is not set up to send email, since the mailbox already does that. Its job is to carry the correspondence to the right record.

** 01.

## What is CRM email integration for?

**
Short answer It moves correspondence with the customer into a shared record the team can see; even if the salesperson changes or goes on leave, what was said to the customer stays on record.

Example scenario: picture a firm in Bursa that sells industrial paint. A factory's purchasing team asks for a quote, requests a product data sheet, and a week later writes again to change the delivery date. If all of that correspondence sits in the salesperson's inbox, then when the salesperson goes on leave the factory has to ask the same question again, and the answer is late once more.

The integration links that correspondence to the factory's card. Anyone who opens the card sees the latest email, the quote that was sent, and the question still waiting. Who wrote what is no longer asked in a meeting; the card answers it.

## How does an email reach the right record?

**
Short answer The key to the link is the email address: if the sender's or recipient's address belongs to a saved contact, the correspondence lands on that contact's record and the company it belongs to; what to do with an unmatched address is decided in advance.

Matching looks simple but struggles in two places. First, several people from the same company write in: purchasing, accounts, the site manager. If each is not saved as a separate contact on the card, part of the correspondence cannot be linked to any record. Second, there are personal addresses. When a site manager writes from a personal address instead of the company one, no match can be made.

There are two options for an unmatched email: open a new contact, or link the correspondence to a record by hand. The choice depends on the team's work. A sales team that often wins new customers may find opening new contacts tidier, while a team working with a few large customers may prefer linking by hand.

Emails on the same subject usually arrive as a thread. If the thread is linked to a single opportunity or quote, the email that carried the quote and the email the customer replied with appear in the same place.

Forwarded email needs extra care. When a salesperson forwards a customer's email to accounts, the sender is now the salesperson, and the match is made to an internal address instead of the customer. That is why leaving a note or opening a task on the card itself works better than forwarding: the correspondence stays on the card, accounts opens the same card, and who asked for what, and when, is on record too.

## How can a mailbox be connected to a CRM?

**
Short answer A mailbox is usually connected through the email provider's authorised connection, through IMAP and SMTP settings, or through a blind-copy address added to each email; the methods differ in how much correspondence reaches the record.

With an authorised connection, the user grants the CRM permission on the email provider's own screen, and the password is never entered into the CRM. The [Gmail API documentation](https://developers.google.com/gmail/api/guides) Google publishes describes what such a connection can do: access the mailbox, read messages, apply labels, and send email. The user sees which permission they are granting on the consent screen.

A connection through IMAP and SMTP settings works with almost any provider, but it often needs a separate app password, and syncing can lag. With the blind-copy method, the salesperson adds an address supplied by the CRM in blind copy when writing to a customer, and only that email reaches the record. It is simple but easy to forget; an email sent without the blind copy never reaches the record at all.

What really decides the choice is who gets to decide which correspondence goes on record. Connecting the whole mailbox reduces missing records but needs filters. Adding emails one by one leaves the filtering to the salesperson, and the risk of missing records with it.

## Which emails should stay out of the CRM?

**
Short answer Private correspondence, HR and legal emails, and emails containing health information should not be moved to the customer record; filter and access rules should be written before the integration is switched on.

A salesperson's mailbox does not hold customer correspondence alone. A payroll question, a leave request, a conversation with a lawyer, or an employee's medical report can land in the same box. If the mailbox is connected with no filter, that correspondence can end up on a customer card, in front of everyone who can see the card.

KVKK, Turkey's Personal Data Protection Law, treats the company that decides the purpose and means of processing personal data as the data controller, and email that lands on a customer record falls within that responsibility. So before the integration is switched on, it should be set down in writing which mailboxes and folders will be connected, which will never be connected, and who will see the card. This section is general information; consult your legal adviser about your own situation.

On the access side, role-based permissions help: the sales team sees sales records, and accounts sees finance correspondence. The [role-based access control](https://www.corex360.com/en/glossary/role-based-access-control) entry explains the structure that defines what each role can see.

## How do shared and personal mailboxes differ in an integration?

**
Short answer A shared mailbox such as a sales or support address belongs to the company and can be connected in full; from a personal mailbox, only correspondence with customers should go on record.

A shared mailbox is the first door a customer writes to: a quote request, a support request, a question about an invoice. Connecting this mailbox in full rarely causes trouble, because what it holds is business correspondence already. The real question is who each incoming email goes to; you can read how a shared mailbox works in [shared mailbox](https://www.corex360.com/en/blog/shared-mailbox).

A personal mailbox is different, because a salesperson's inbox carries both customer and internal correspondence. There are two options: connect only correspondence with saved contacts, or connect the emails the salesperson picks. Whichever is chosen, the team should know the rule. A salesperson who does not know what goes from their inbox to the record will not trust the integration.

## Where does email land in Corex360?

**
Short answer In Corex360 the Email module is a full mail client and a Gmail (Google Workspace) account can be connected; once company email is connected, X AI reads incoming email, matches the sender to the customer card, and files it there.

The Email module has inbox, sent, drafts, junk, bin, and starred folders, labels, and account settings; a Gmail (Google Workspace) account connects, and Microsoft 365 is among the supported integrations too. Messages, calls, and emails link to the same person, and the card shows the date of the last contact. When a request that came by email becomes an opportunity, email shows on the card as the opportunity's source.

[X AI](https://www.corex360.com/en/x-ai) matches the email it reads to the card; it does not reply to a customer on its own, and the decision to send stays with you. Access is role-based, and personal data is processed under KVKK (Turkey's personal data protection law). The [Corex360 CRM](https://www.corex360.com/en/modules/crm) page shows the tabs of the customer card and the flow from opportunity to quote.

## Frequently asked

** 01 What is CRM email integration? **
CRM email integration links incoming and outgoing correspondence in a company email account to the relevant customer, contact, and opportunity record, so the correspondence sits in a shared record the team can see rather than in a personal inbox.

** 02 Do we have to give our password to the CRM for email integration? **
Not with an authorised connection: permission is granted on the email provider's own screen and can be withdrawn from the provider's account settings. With an IMAP connection, most providers ask for a separate app password.

** 03 Are old emails moved into the record too? **
That depends on the connection method and the decision made at setup. How much past correspondence to move should be agreed at the start; moving the whole archive also brings a large amount of unmatched correspondence with it.

** 04 Where does an email sent from the CRM appear? **
If the integration works both ways, a sent email appears both in the sent folder and on the customer's card. With a one-way setup, only incoming correspondence reaches the record.

** 05 How is a customer writing from a personal address matched? **
An address missing from the card will not match. Once every address the customer uses is added to their contact record, later correspondence lands on the right card.

** 06 Which email accounts does Corex360 work with? **
A Gmail (Google Workspace) account connects to the Corex360 Email module; Microsoft 365 is among the supported integrations too.
