# What drives ERP cost: the items behind the quote

ERP cost is the sum of the licence model, user and module scope, hosting, data migration, integration, training, and maintenance. Two quotes can only be compared once these items sit side by side.

ERP cost is the full set of items that make up the total burden of enterprise resource planning software on a company: the licence or subscription, user and module scope, hosting, [data migration](https://www.corex360.com/en/blog/switching-crm-moving-your-data), integration, training, and maintenance. The single figure on a quote may cover only some of these. When comparing two quotes, the items go side by side first, and the figure is looked at afterwards.

** 01.

## What items make up ERP cost?

**
Short answer ERP cost is made up of the software fee, setup, data migration, integration, training, hosting, and maintenance; some are one-off, and some recur every year or every month.

Example scenario: picture a textile firm in Denizli that makes towels and bathrobes. When it starts researching ERP, it would end up holding quotes that look nothing alike. One states an annual subscription, another a perpetual licence, a third a monthly fee per user. One includes data migration, another lists it separately. These quotes can only be compared once they are laid out in the same table. You can see what ERP covers in [what ERP is](https://www.corex360.com/en/blog/what-is-erp).

ERP cost items and the questions to ask in a quote
| Item | What it depends on | Question to ask in the quote |
|---|---|---|
| Software fee | Licence model (perpetual licence or subscription), user and module scope | Is the fee tied to users, modules, or the company? |
| Setup | Fitting processes to the software, role and permission definitions | Is setup a separate item, and who does it? |
| Data migration | The volume and cleanliness of existing records, and how many separate sources they come from | Which records are moved, and who cleans them? |
| Integration | Systems to connect, such as the accounting program, e-documents, an online shop, or the bank | Is each connection priced separately, and who fixes it when it breaks? |
| Training | The number of users and the variety of roles | Which roles are trained, and in what format? |
| Hosting | The cloud or the company's own server | Who looks after the server, backups, and updates? |
| Maintenance and support | Updates, bug support, new versions | Is support included in the software fee? |

The row most often overlooked is data migration. At the textile firm, customer cards might sit in the accounting program, stock cards in an Excel file, and recipes in the production manager's notebook. Cleaning and merging these sources is work that has nothing to do with the software, and when the quote leaves it out, it turns up as separate work during the project.

## How does the licence model change the cost?

**
Short answer With a perpetual licence the first year is heavy and maintenance is paid afterwards; with a subscription the burden is spread over the years but the payments continue. Compare them over the same period.

A perpetual licence is bought once, and a separate maintenance contract usually covers updates and support. With a subscription the software is rented, and updates are often included in the fee. The right choice depends on the company: a firm with tight cash flow may prefer a subscription, while one that knows it will stay on the same system for a long time may prefer a perpetual licence.

With per-user pricing, the point to watch is who counts as a user. If a manager who only reads reports, a field worker who only files leave requests, or a partner who logs in now and then also counts as a full user, the fee grows faster than expected. The quote should list user types separately.

** 03.

## How does cloud or your own server affect the cost?

**
Short answer In the cloud, the server, backups, and updates are part of the service fee; on your own server, hardware, operations, backups, and security fall to the company's own budget and team.

On your own server the software fee sometimes looks lower, because hosting is left out of the quote. But the server itself, the backup routine, operating system updates, restore tests, and the person who does all of this go into the company's budget. In the cloud these items are included in the service fee; in return, the data sits on the provider's infrastructure.

The decision is not made on cost alone. Where the data will sit, KVKK (Turkish data protection) obligations, and the company's own IT capacity also come into it. The [setup on your own server](https://www.corex360.com/en/solutions/on-your-own-server) page shows the options for businesses that want their data to stay in-house.

## Why should integration and e-document costs be discussed separately?

**
Short answer Each connection is a separate job: any link to the accounting program, e-invoice and e-archive, the online shop, the bank, or the courier that the quote leaves out turns up as an extra during the project.

In Turkey, electronic documents are an inseparable part of an ERP project. The scope and technical guides for schemes such as e-invoice, e-archive, and e-dispatch note are published on the Revenue Administration's [e-Document site](https://ebelge.gib.gov.tr/anasayfa.html). Confirm with your accountant which schemes are mandatory for your company; the ERP quote should also state how these documents will be issued (through a private integrator or a direct connection) and what that costs.

If the Denizli textile firm also sells abroad, export documents, foreign currency, and a bank connection come up alongside e-invoice and e-archive. For each connection, the quote should say who will set it up, who will fix it when it breaks, and whether it carries an annual fee.

## Where do hidden costs come from?

**
Short answer Hidden costs usually come from the time the team puts into the project, the period in which the old system runs alongside the new one, and customisation requested later.

An ERP project also takes effort from inside the company. The person who explains the processes, the person who cleans the data, and the team who attend training all set aside part of their work during that time. If the old system runs alongside the new one for a while, the same record is entered in two places. None of this appears on an invoice, but it is part of the real cost of the project.

Customisation is the second source. If the software is changed for every process that does not fit the standard screens, the first setup gets more expensive and every later upgrade gets harder. Before asking for customisation, it is worth checking whether the process itself could change.

The third source is the cost of leaving. At the quote stage, ask in what format the data will be handed over when the contract ends, whether exporting carries a separate fee, and whether read-only access to old records continues. The answers settle today what it will cost to change systems one day.

The CRM counterpart of the same item-by-item logic, with user and channel scope, is covered in [what drives CRM cost](https://www.corex360.com/en/blog/what-drives-crm-cost).

## How does Corex360 give a price?

**
Short answer Corex360 does not publish a list price on its website; the price is set in a written quote after the demo, and the choice between Corex360 Cloud and your own server is written into the contract.

Corex360 is a platform that [brings CRM, ERP, and automation together on a business intelligence core](https://www.corex360.com/en). Its modules are not separate products; they share the same customer record, and information is entered once. That is why some of the integration rows in the table close inside the company, on the same core: sales and purchase invoices are issued in the Accounting module, on the same core as the customer card.

Existing customer and contact records are moved across together at setup, with the scope agreed in the demo. You can put the questions in the table to Corex360 too; the answers go into the written quote.

## Frequently asked

** 01 What is ERP cost? **
ERP cost is the full set of items that make up the total burden of ERP software on a company: the software fee, setup, data migration, integration, training, hosting, and maintenance.

** 02 Why do ERP prices differ so much? **
Quotes cover different items. One includes setup and data migration, another states only the software fee; the licence model and the definition of a user differ too. Figures cannot be compared until the items are laid out in the same table.

** 03 Is a subscription or a perpetual licence cheaper? **
There is no single answer. Compare over the same period, adding maintenance and update fees; the company's cash flow and how long it plans to use the system change the result.

** 04 Is data migration included in an ERP quote? **
It varies by supplier. The quote should state which records will be moved, who does the cleaning, and whether migration carries a separate fee.

** 05 Does e-invoicing add to ERP cost? **
Electronic documents such as e-invoices and e-archive invoices are often issued through a private integrator or a direct connection, and that service may be priced separately from the ERP. Confirm with your accountant which documents are mandatory for your company.

** 06 Why is Corex360's price not on the website? **
Corex360 does not publish a list price on its website; the price is set in a written quote after the demo. Setup runs in a company-specific space on Corex360 Cloud or on your own server, and the choice is written into the contract.
