# PBX CRM integration: how a caller is matched to the customer card

PBX and CRM integration matches the caller's number to a customer card and writes the call to the record. Unmatched numbers and broken links are the two most common problems, and what goes on the card should be agreed up front.

PBX and [CRM integration](https://www.corex360.com/en/integrations) is the link that passes call data from the phone system to the customer records and matches the caller's number to a customer card. When the phone rings, who is calling, what was last discussed, and which job is open appear on the same screen. At a boiler service firm in Kartal the phone rings, and before answering, the agent sees last week's fault record for that customer on screen.

## What happens behind the scenes when the phone rings?

**
Short answer The PBX passes the caller's number to the CRM, the CRM looks it up, and the matching card is shown to whoever takes the call.

The moment a call arrives, the PBX raises an event: which number, which extension, what time. The event is sent to the CRM through a programming interface. The CRM searches for the number across person and company cards. The matching card opens on the screen of the person whose phone is ringing; the industry calls this a screen pop.

When the call ends, the same path runs the other way. The direction, the date, and who answered are written to the card. The person who answered adds a note and opens a task if needed. The next time that number calls, the card opens with that note on it.

An outgoing call starts from the other end. The salesperson clicks the number on the card, the CRM sends a dial request to the PBX, and the PBX rings the salesperson's phone first and then the customer. This is click-to-call; because nobody dials by hand, wrong numbers and unlogged calls disappear.

** 02.

## What happens when a number does not match?

**
Short answer Without a match, either a new record opens or the call is left without an owner; the integration's rule decides which.

Example scenario: Picture an insurance agency in İzmir. A corporate client calls from its company switchboard; the number on screen is the switchboard's outgoing line, not the mobile saved on the card. There is no match, and the call looks like a new customer. When the same person calls from a mobile the next day, a second record is born.

That is why the matching rule should be written up front. A person should be able to have more than one number on the card, an unmatched call should not be left ownerless, and two cards should be mergeable later. In Corex360 the call sits on the caller's contact card.

An unmatched call left without an owner is a bigger problem than the match itself. A call from a new number is often a new customer. If that call enters nobody's list, a first contact is lost in a line of a call report.

** 03.

## What should the integration write to the card?

**
Short answer The card needs more than the call itself; it needs what happens next: who called, who answered, what was said, and what the next job is.

- The direction and date of the call: incoming or outgoing.
- Who answered or who made the call.
- If missed, a call-back task and its owner.
- A call note and the linked opportunity or quote.
- If recorded, who may access the recording.

For a missed call, a call-back task and its owner should land on the card too; when the customer calls a second time, whoever answers sees the note from the earlier call and the linked quote in one place. If calls are recorded, that data falls under KVKK, the Turkish Personal Data Protection Law; the caller is informed and access to the recording is limited by role. Writing down who may listen, alongside the recording itself, is part of the integration's job.

** 04.

## Why does the integration break?

**
Short answer When the PBX and the CRM come from different vendors, the link depends on both sides' updates and can break when either one changes.

The PBX provider changes its event format while the CRM still expects the old one. One morning calls stop being written to cards and nobody notices; when someone does, each side says the problem is on the other. The bridge between them has no owner.

So when choosing, ask this: if the link breaks, who notices and who fixes it? Without a clear answer, the integration only works on the day it is installed. The cost of a broken integration is silent. Calls are still made and customers still talk; only the record is missing. At month end, when someone asks how often a customer called, the answer is incomplete and nobody knows it is.

** 05.

## What should be decided before the integration is set up?

**
Short answer Before setup, decide how numbers are stored, who an unmatched call goes to, and who can see call recordings.

- Number format: country code, leading zero, spaces; records should follow one format.
- How will a company's switchboard number and a person's mobile be tied to the same card?
- Who gets an unmatched call: the next available person or a group?
- Whose list will the call-back task for a missed call go to?
- Who will have access to call recordings?

Number format looks like a small detail, but it is where matching breaks most often. A number saved on the card with a leading zero does not match when the PBX sends it with a country code. Putting records into one format before setup prevents a crowd of new cards in the first week.

The decision list needs an owner too. If one person runs the PBX settings and another runs the CRM rules, the matching rule falls between them. A single owner makes sure both sides apply the same rule. When the rule changes, that person tells the team. That way no salesperson has to hunt one morning for why a call never reached the card.

## How do the PBX and the customer card work together in Corex360?

**
Short answer In Corex360 the PBX is not a separate product but a module of the core; the call history sits on the caller's customer card.

Calls are made from the browser. Incoming and outgoing call history is written to the caller's card. If the number belongs to a registered customer, the contact is filed straight on their card; if not, a new card opens and is assigned to an owner. With the automatic information SMS switch on, when you call a customer, the number called receives an SMS introducing you.

In Corex360 the [PBX module](https://www.corex360.com/en/modules/cloud-pbx) is part of the core; calls, messages, and quotes sit on the same customer card.

PBX and CRM integration does not stop at calls. When the same customer writes on WhatsApp in the morning and calls at noon, both contacts sit on one timeline. You can read how that is set up on [bringing the cloud PBX and WhatsApp into one inbox](https://www.corex360.com/en/solutions/unify-channels).

** 07.

## What does this mean in a sales team's day?

**
Short answer Before calling a customer, the salesperson opens the card; the last quote, the last message, and the open job are in one place, and the call is made from the same card.

The first job in the morning is going through missed calls from the night before. If the list shows numbers together with who they belong to and what is open, the salesperson sets the order: the customer waiting for a quote first, the new number after.

A salesperson going through the call-back list in the afternoon sees, next to each number, who called and what they are waiting for. The call starts from the card, the note goes on the card, and if a quote is needed it opens from the same card. The sales team's whole day runs on this flow. If you wonder what sits inside the card, see [customers, opportunities, and quotes in the CRM module](https://www.corex360.com/en/modules/crm). In the demo we make a call with your own customer card and watch together how it is written to the card.

## Frequently asked

** 01 What is PBX and CRM integration? **
PBX and CRM integration is the transfer of call data from the phone system into the customer records, matching the caller's number to the right customer card.

** 02 What is a screen pop? **
A screen pop is the customer card for the calling number opening by itself on the screen of the person about to answer. In Turkish it is also called 'ekrana düşme', the card opening on the call.

** 03 Does every PBX integrate with every CRM? **
No. The PBX has to be able to send call events out and the CRM has to be able to receive them. Who builds the link and who maintains it are separate questions to ask.

** 04 Do calls to mobile phones reach the card too? **
What reaches the card is a call that passes through the PBX. A call straight to an employee's personal mobile bypasses the PBX and is not recorded, which is why customer calls are best kept on the company number.

** 05 Who can listen to call recordings? **
The company's permission rule decides. A call recording is personal data; access should be limited by role and every access should be logged.

** 06 Does Corex360 need a separate PBX integration? **
No. The PBX is a module of the Corex360 core and works on the same record as the customer card. Messages, calls, and email link to the same person, so the date of the last contact is clear on the card.
