# Leave tracking: paper forms or a digital flow

Choosing between paper and digital leave tracking is a decision that depends on the size and spread of the team: a paper form works for a team in one building with one approver, and once the team spreads out a digital flow is needed. When to switch, who owns the change, and the day the form goes back on the shelf.

A paper leave form is the method in which a [leave request](https://www.corex360.com/en/solutions/leave-tracking-software) is taken on a signed document and kept on file; a digital leave flow is the method in which the request, the approval, and the remaining entitlement are kept on one record. For a team in one building with a single approver, paper is enough; once the team spreads across branches and out into the field, it is time for a digital flow. We explained how digital leave tracking works in [leave tracking and calendar clashes](https://www.corex360.com/en/blog/leave-tracking). This article deals only with the decision to switch: when, who owns it, what the risks are, and on which day.

** 01.

## Which teams are still well served by paper forms?

**
Short answer A paper leave form serves a team well when everyone works in one building and approval comes from one person who is there every day; such a team has no need to rush into a digital flow.

Example scenario: Picture a farm machinery dealer in Konya. A few people work in the office and a few technicians in the workshop. Leave requests go on a printed form, the owner signs it, and the form goes into a binder. The owner sees every request, keeps the calendar in his head, and checks remaining leave with accounting once a year.

If there is no reason to change this, do not change it. Staying with paper does not mean falling behind; for where digitalisation starts across the rest of the company, see [our piece on digitalisation in small businesses](https://www.corex360.com/en/blog/sme-digitalisation). What matters is that the form and the remaining balance sit in one place, in the hands of one person responsible; that rule is the same on paper and in digital form.

** 02.

## When is it time to move from paper to digital?

**
Short answer The time to move from paper to a digital leave flow comes when forms start reaching the people waiting for them too late; the most common cause is opening a branch or a team spreading into the field.

- Forms wait on the approver's desk for days.
- Staff at a branch, a building site, or out in the field can only hand in a form when they visit head office.
- When staff ask about their remaining leave, the answer changes from list to list.
- On payroll day, accounting chases missing forms.

When the Konya dealer opens a branch, the first sign may come on payroll day. If the branch manager signs the forms and never sends them to head office, a technician's days on leave look like absences, and an argument about a pay deduction follows. Even if it is sorted out the same day, it leaves a question in the team: is my leave record safe? The paper does its job; the time is lost in the days the information spends in transit.

Opening a branch is not the only cause. A field service team, a production line on shifts, or an office whose manager travels often face the same problem: the form is not where the person who signs it is.

** 03.

## Is the form in transit, or the balance on a list?

**
Short answer Paper and a digital leave flow are compared on how easy each is to start, how long forms spend in transit, how far staff trust their remaining balance, storage, and the cost of changing habits.

Paper forms and a digital leave flow
| Topic | Paper form | Digital flow |
|---|---|---|
| Getting started | Used straight away, no training | Needs leave types defined and staff used to the app |
| Transit | Moves desk to desk, branch to head office | Reaches the approver the moment it is entered |
| Remaining leave | Reduced by hand on a separate list; lists can drift apart | Read from one record |
| Storage | Takes up space, can go missing, nobody knows who opened it | Access can be tied to permissions |
| Habit | Continues today's routine | Asks managers to stop verbal approval |
| Cost | Low direct cost; the real cost is delay and error | Has a software fee |

The two columns of the table show different costs. A paper form is used straight away and needs no training, but it moves from desk to desk and from branch to head office, and remaining leave is reduced by hand on a separate list, so lists can drift apart over time. In a digital flow the request reaches the approver the moment it is entered and remaining leave is read from one record; in return, leave types have to be defined, there is a software fee, and managers have to stop giving approval verbally.

** 04.

## Who carries the switch?

**
Short answer The employer makes the decision to move from paper to a digital leave flow; HR, the approving managers, and, on record-keeping, the external accountant carry it out together.

- HR: works out each employee's remaining leave and prepares it for the switch day.
- Approving managers: stop giving verbal approval in the corridor and approve only from the record.
- External accountant or accounting: reviews how leave records are kept and how old forms are stored.
- Team leads: help staff at branches and in the field enter their first request correctly.

Staff have a role too: checking their balance before the switch and entering their first request through the digital flow. If the switch goes ahead before staff have agreed their balance, the first objection arrives after the switch day and shakes trust in the new record. At the Konya dealer, the weight of the work would fall on the accounts officer who also handles HR. The owner's role is a single decision: from that day on, no more signing paper forms. If he keeps signing, the team goes back to paper too.

## What are the risks of switching?

**
Short answer The main risks of moving from paper to a digital flow are a wrongly carried-over balance, a lingering habit of verbal approval, and two separate records living side by side for a while.

The costliest mistake is in the balance. If the remaining leave carried over from paper is wrong, staff lose faith in the new system on day one. So each employee's balance should be shown to them and agreed before the switch.

The second risk is verbal approval. If the manager keeps approving in the corridor, no approved leave appears in the system and payroll is wrong again. The third is two separate records: if paper forms are still accepted after the switch, two balances are kept for a while and there is an argument at year end about which is right. Turkish legislation expects employers to keep annual leave records; settle the format with your accountant or legal adviser.

** 06.

## How do you plan the switch day?

**
Short answer The switch day is the day each employee's agreed remaining leave is entered as the starting value in the digital record and paper forms stop being accepted.

- Choose a date away from busy periods and the start of summer leave.
- Have each employee agree their balance before the switch day.
- Archive old forms by employee; going digital is no reason to destroy them.
- Announce to the team, with the date, that paper forms are being retired.
- Name one person to answer questions in the first weeks.

The Konya dealer could set its switch day in autumn, in the weeks after summer leave ends and the workshop's busy season has passed. Balances are shown to staff a week ahead, and on the morning of the switch the paper forms come out of the drawer. Before the switch, any paper forms still open are either approved and posted to the balance or handed back to the employee, so the first digital request starts from a balance everyone has agreed.

## Where does leave live in Corex360 after the switch?

**
Short answer In Corex360, after the switch, leave requests go through an approval flow logged with who approved and when, and the attendance device connects to the same core.

For the Konya dealer's branch, this means the form no longer waits in a courier bag: the technician enters the request from the phone, the branch manager approves it from the phone, and accounting at head office sees the approved leave on the staff card. Advance requests, overtime approvals, and assigned equipment run in the same module. You will find the details on the [Corex360 HR module](https://www.corex360.com/en/modules/hr) page and common questions on the HR and time attendance questions page.

In a small team with one approver and everyone in one building, there is no need to set up Corex360 for leave alone. A digital flow earns its keep once the team spreads out and leave details need to reach the people waiting for them on time.

## Frequently asked

** 01 Should leave be tracked on paper forms or in a digital flow? **
If the team works in one place and one person approves, paper forms are enough. If the team is spread across branches or out in the field and forms reach the people waiting for them late, move to a digital flow.

** 02 Does digital leave approval replace a wet signature? **
Digital approval records who approved and when; its evidential weight and which documents still need a wet signature may vary with your situation. Ask your legal adviser for their view.

** 03 How long should old paper leave forms be kept? **
The retention period is set by legislation and the limitation periods in employment law; settle the exact period with your accountant or legal adviser. Keep the forms in an orderly archive by employee.

** 04 How do you get staff used to a digital leave flow? **
Show staff what they gain: seeing their remaining leave without asking anyone, and getting approval on their phone quickly. Entering the first request together usually clears any hesitation about the app on day one.

** 05 Do you need a time attendance device for digital leave tracking? **
No. A leave flow works with requests, approvals, and balances; a time attendance system records clock-ins and clock-outs. When both sit on the same staff card, attendance is easier to read, but neither depends on the other.

** 06 How does an employee without a phone make a digital leave request? **
HR or a team lead enters the request on their behalf; a shared device can also work. What matters is that the request does not stay on paper but goes onto the same record.

✳ **Let us talk through your leave and overtime set-up** Leave, advance, and overtime requests land in the approval centre; the manager approves or rejects them, and the record keeps who approved and when.
