# Customer tracking in Excel or a CRM: which one, and when

Tracking customers in Excel is a method that works where one person keeps the list; once several people touch the same customer, a CRM is needed. The time to leave the spreadsheet shows itself through a few recurring events.

Tracking customers in Excel is a method that works where one person keeps the list and conversations with customers run through a single channel; once several people touch the same customer and conversations spread across channels, a CRM is needed. What decides it is not how many customers you have but how many hands the record passes through.

** 01.

## In a shared spreadsheet, who changed what?

**
Short answer The choice between Excel and a CRM comes down to how many people update the customer record: if one person keeps the list, Excel is enough; if several people touch the same customer, you need a CRM.

Example scenario: Picture a furniture maker in İzmir. The owner has kept dealers and key customers in a single Excel file for years. He opens it, he updates it, he remembers it. It works because the owner of the record and its only user are the same person.

Then a sales rep is hired, and later a second one. The file moves to a shared folder. One day two people quote the same customer different prices; each has looked at the copy they opened. Nobody can say who changed which cell, or when. Excel has done its job; the file, though, is built for one person's habits.

At this point most companies try to fix the file: colour codes, locked columns, a column for the name of whoever last updated it. These help for a while. But the rule depends on everyone who opens the file following it, and in a busy week that is the first thing to go.

** 02.

## Where is Excel still the right tool?

**
Short answer Excel is enough for customer tracking when one person keeps the list, conversations run through one channel, and follow-ups are infrequent.

There is no reason to look down on Excel. Think of a newly founded consultancy: a handful of corporate clients, occasional meetings, and one partner running all of it. Setting up a CRM there would add the weight of a habit with nothing to show for it.

The things Excel does well are real too: a quick list, a price calculation, a list of event attendees. Those can stay in Excel after a CRM arrives. The decision here is only about where the customer record lives; Excel stays in the company. If you are staying with the spreadsheet, give the file one owner and make every row carry the next step with its date. A row without a date just sits there as a record; it prompts nobody to act.

** 03.

## Cells, conversations, and reminders: where do the two part ways?

**
Short answer When choosing between Excel and a CRM, weigh ease of starting, the trail of changes, conversation history, reminders, permissions, and cost; Excel wins the first, the CRM most of the rest.

Excel and a CRM, criterion by criterion
| Criterion | Excel | CRM |
|---|---|---|
| Getting started | Opens straight away; the team already knows it | Needs setup, field definitions, and a short period to get used to it |
| Trail of changes | Who changed a cell, and why, is often invisible | Each change is recorded with its author and time |
| Conversation history | You jot a note; the conversation itself stays in email and on the phone | Emails, messages, and calls are tied to the customer card |
| Reminders | Reminds nobody; the follow-up date is just a column | A task opens when the date arrives |
| Permissions | Whoever opens the file sees every row | Who sees which record is set by role |
| Cost | Most companies already have it | A licence or subscription fee, plus setup effort |

Apart from cost, the rows in the table where Excel falls behind all lead to the same place: the record depends on a person. At the İzmir furniture maker, which dealer is paying late and which has asked about the new model lives in the owner's head, not in the file. A CRM cannot know this by itself; it gives that knowledge a place to be written and a date to remind you of the next step.

## Which events tell you it is time to leave the spreadsheet?

**
Short answer Two people giving the same customer different answers, a rep's customers left unattended when they go on leave, and a manager who has to ask how things stand all say it is time to move from Excel to a CRM.

- The same customer appears twice in the file, spelled two different ways.
- When a rep goes on leave, nobody knows where their customers stand.
- Customers write on WhatsApp, by email, and by phone, and only one of these makes it into the file.
- Once a quote is sent, nobody remembers when to follow it up.
- The manager cannot see the state of things without waiting for the month-end sheet.

No single event is a reason to switch on its own. When several happen in the same month, the root of the problem is that the record depends on a person, and the layout of the file does not change that. However tidy you make the file, it will not tell you the next step. Note these events on a sheet of paper for a month. If the list stays short, the spreadsheet is doing its job; if it grows, the decision has in effect already been made.

On the manager's side the same problem has another face: an Excel report is right on the day it is made and dated the next. We looked at this from the angle of a decision screen in [the limits of the Excel report](https://www.corex360.com/en/blog/management-report-beyond-excel).

## What does moving to a CRM not solve?

**
Short answer Moving to a CRM does not bring the habit of writing things down by itself; a CRM where nobody opens cards tells you less than a well-kept Excel file.

A CRM does not keep records by itself. If the team does not open the card and write the note, the screen stays empty. If the old file is left open after setup, the team updates both places and both end up incomplete. There is also a settling-in period. The team may slow down a little in the first days; that is normal. Agreeing with the team before setup which fields will be required shortens it. If you have made the decision, we gathered what to check, in order, in the [CRM migration checklist](https://www.corex360.com/en/blog/crm-migration-checklist).

Then there is the question of expectations. A CRM does not sell; it reminds the rep of what they forgot and shows the manager what they would otherwise have to ask. A team expecting sales to rise by themselves after the move will be disappointed. The measure of the move is that lost quotes and unanswered customers are now visible.

## When does Corex360 come into this decision?

**
Short answer Corex360 comes in once the customer record passes through more than one pair of hands: the Excel row becomes a customer card, and messages, calls, and email link to the same person.

Contacts, tasks, opportunities, quotes, contracts, and files sit in separate tabs on the card. Messages, calls, and email link to the same person, and the date of the last contact is clear. [X AI](https://www.corex360.com/en/x-ai) reminds you of follow-ups and brings pending work forward in the morning report; the decision stays with you. You can read how the card works on the [Corex360 CRM module](https://www.corex360.com/en/modules/crm) page.

For the İzmir furniture maker, day one looks like this: the dealers in the file have been moved onto cards, and the sales reps open their own customers' cards and write the next step on each. The next morning, who calls which dealer is on the card.

If one person keeps the list and your customer traffic is light, you may not need Corex360 today. In that case keep your file in order, and let us talk again when events such as two different answers to the same customer, or a salesperson's customers left without an owner during leave, start to happen.

## Frequently asked

** 01 Is the number of customers a reason to move from Excel to a CRM? **
Not on its own. One person can keep a long list in order, while a short list can fall apart in the hands of a few reps. A better threshold is overdue rows: when rows past their follow-up date that nobody has touched keep piling up, the spreadsheet is no longer carrying the follow-up.

** 02 Can an online spreadsheet such as Google Sheets replace a CRM? **
Partly. An online spreadsheet solves simultaneous editing and version confusion, but it does not bring conversation history, date-based reminders, or per-record permissions. Messages and emails still sit outside the sheet.

** 03 If you stay with the spreadsheet, which columns are essential? **
The next step, the date of the next step, and the person responsible. Without these columns the spreadsheet stays an address book; a row with no owner belongs to nobody.

** 04 Is a ready-made Excel customer tracking template enough? **
A template tidies up the columns but does not settle who updates it or who remembers the next step. It can be enough for one person's follow-up; as the team grows, the template's order falls apart too.

** 05 Is a CRM an unnecessary cost for a small business? **
Set the licence fee side by side with the cost of the work that gets lost. Write down the quotes forgotten and the customers called twice in a month; if the list is empty, a CRM may be unnecessary today, and if it is full, that is where the real cost lies.

** 06 Is tracking customers in Excel a problem under KVKK (Turkish data protection law)? **
Holding personal data in Excel is not forbidden in itself; what matters is who holds it, who can access it, and how long it is kept. When a file travels by email, the answers to those questions get lost. Work with your legal adviser on your own situation.
