# How to track customers: what belongs on the card

Customer tracking is the practice of keeping the conversation, the quote, and the next step on one customer card. If customers leave with the salesperson, tracking lived in a person.

Customer tracking is the work of gathering every conversation, quote, contract, and payment detail for a customer on one card, and taking the next step on time. Tracking means the answer to 'what happens now' is on the record for every customer; the list is only the visible part of it.

** 01.

## What belongs on the customer card?

**
Short answer The card should hold the company and its people, the conversation history, open opportunities and quotes, contracts, tasks, files, and the financial status.

A customer card is more than a contact entry. A phone number sits in any address book; what gives the card its value is that everything that happened with that number builds up in one place. Whoever opens the card should understand as soon as they open it who the customer is, what they want, and what comes next.

What sits on the customer card, and who updates it
| Card section | Why it matters | Who updates it |
|---|---|---|
| Company and people | Shows who to reach | The salesperson who opened the record |
| Conversation history | Shows the latest conversation, whatever the channel | Whoever spoke, or a channel linked to the card |
| Opportunities and quotes | Shows open work and the version sent | The opportunity owner |
| Contracts | Makes the renewal date visible in advance | The sales team and the manager |
| Tasks | Ties a promise to its owner | The person who made the promise |
| Files | Ties quotes, contracts, and technical documents to the record | Whoever prepared the file |
| Finance summary | Shows sales the state of invoices and collections | Accounts |

The file side of the card should not be neglected either. If the quote PDF, the signed contract, and the site survey photos sit in a shared folder, their link to the card breaks. In Corex360 files sit inside the record they belong to, in the card's Files and Drive tabs. When the file sits inside the record, the person looking for the quote PDF searches the customer's card rather than a folder, and when the card changes hands the files go with it.

## How do conversations reach the card?

**
Short answer Conversations are not copied to the card by hand; the channel is connected to the record, and each message lands on the right card by itself, based on the number or email address it came from.

A conversation copied by hand is the first casualty of a busy day. The salesperson says 'I will enter it tomorrow' in the evening, and tomorrow brings other work. Tracking only becomes reliable when conversations land on the card by themselves.

Phone calls should not be left outside this rule either. A promise made on a call binds you as much as one in a written message. In Corex360 the incoming and outgoing PBX call history sits on the customer card.

In Corex360, WhatsApp, Instagram, and web chat are gathered in one inbox, and email and PBX calls link to the same customer card. If the number is already registered, the conversation is filed on the customer card; if not, a new record opens and the conversation is assigned to an owner. We describe this setup on the [unify the channels in one inbox](https://www.corex360.com/en/solutions/unify-channels) page.

## Why does the same customer get opened twice?

**
Short answer The same customer gets opened twice when channels and people are recorded separately; the fix is to check whether the person is already on file before opening a new card.

Example scenario: Picture a building materials dealer in Gaziantep. The same contractor writes on Instagram in his own name in the morning, from the company email at noon, and from the site foreman's phone in the evening. If records are opened per channel, the dealer ends up with separate cards for the same customer, each holding one piece of the story.

The way to prevent this is to tie the person to the company and the channel to the person. In Corex360 messages, calls, and email link to the same person, and the date of the last contact is clear. Existing customer and contact records are moved together at setup.

Matching does not end with the software; it carries on as a habit. Whoever opens a new record searches first and only creates one if nothing turns up. That small habit is the difference between a customer list that gets messier over time and one you can trust.

## How do you set the rhythm of tracking?

**
Short answer Every card should carry the next step and its date in writing; a card without a next step is a forgotten card.

Tracking is not something you do once and drop. When a conversation ends, the question 'what happens next' is answered and written on the card: a sample to send, a site visit, a revised price. That step becomes a task with a date and an owner.

For a furniture salesperson in a showroom, the rhythm works like this: the customer looks around and leaves, the salesperson sends a short thank-you message the same day with photos of the pieces they discussed, and writes the next step on the card. When the customer decides a few days later to have measurements taken, the pieces they looked at are already on the card. You can read about the whole rhythm in [from showroom visit to quote](https://www.corex360.com/en/blog/showroom-customer-tracking).

In Corex360 the CRM keeps the customer's [lifecycle stage](https://www.corex360.com/en/glossary/customer-lifecycle) and relationship score on the card; pending tasks and unanswered quotes come forward in [X AI](https://www.corex360.com/en/x-ai)'s morning report. When a rule breaks, X AI opens a task and assigns an owner.

** 05.

## What happens to the customer when a salesperson leaves?

**
Short answer If tracking happened on the card, the customer stays with the company; whoever takes over reads what is written on the card and continues from there.

The real test of customer tracking is a farewell day. The salesperson leaves, and the phone, the WhatsApp history, and the notes in their head go with them. The newcomer calls the customer and has to ask 'who were you talking to before'. Customers do not like that question.

In Corex360 the conversation, opportunity, quote, and contract sit on the customer card, that is, with the company. The departing person's cards are reassigned. Access is role-based and logged. The same holds during leave. If a customer calls while the salesperson is on holiday, the colleague who answers opens the card and carries on the conversation from where it stopped. The customer may not even notice their salesperson is away.

** 06.

## How does a manager see customer tracking?

**
Short answer A manager should not have to open cards one by one; they should see, in one list, the customers with no next step, those nobody has contacted for a long time, and those with unanswered conversations.

The health of customer tracking shows in the quietest cards. Active customers are talked to anyway; the real risk lies with the old customer nobody has called for a while and the message still waiting for an answer. These cards do not come forward to anyone by themselves.

This list is how the work gets shared out. Deciding who will call a customer who has gone quiet is worth more than finding out who forgot them. In Corex360, unanswered conversations are distributed by owner and sit at the top of the morning briefing. The manager sees in one list who owes which customer an answer, and can hand the card to someone else if needed.

** 07.

## How does customer tracking carry on in the field?

**
Short answer The salesperson in the field opens the same card on their phone and adds the visit note and photos to the card during the visit.

A field visit is where tracking breaks most easily. While with the customer, the salesperson plans to write everything up in the evening report; by evening they are tired and much of it is forgotten. If the card is in their hand during the visit, the note goes in on the spot and the photo is added on the spot.

Putting the visit note on the card helps the manager too. They do not have to ask which customer was visited when, or what was said; the card's timeline already tells them. The chore of writing an evening report disappears as well.

For the Gaziantep dealer's field salesperson, this means seeing last week's conversation and the pending quote on the card while talking to the contractor on site. In Corex360 the customer card, the inbox, and quotes open in the mobile app on the same record. Without a separate [customer tracking software](https://www.corex360.com/en/solutions/customer-tracking-software), the office team and the salesperson in the field look at the same card and carry on the same story.

** 08.

## How do you read the customer list in Corex360?

**
Short answer In Corex360 the customer list opens as a list or a kanban; it can be grouped, filtered by status, and carries individual or corporate badges.

Besides open, won and lost opportunities, the opportunity screen separately counts those with no reply, those with no planned activity and untracked hot ones. The AI Insight card can flag a company as a high-potential opportunity. At the top of the customer card sit the relationship score and the assigned representatives, with This Week, Summary and Recent Tasks panels beside them. Because messages, calls and email link to the same person, the date of the last contact is clear.

## Frequently asked

** 01 How do you track customers? **
You track customers by gathering every conversation, quote, contract, and payment detail on one card, and writing the next step with its date on every card.

** 02 Can customer tracking be done in Excel? **
For a while, if one person keeps the list. The criteria for the decision, and the signs it is time to leave the spreadsheet, are in [Excel or a CRM](https://www.corex360.com/en/blog/excel-or-crm).

** 03 What should not go on a customer card? **
Personal details unrelated to the business should stay off the card. Under KVKK (Turkish Personal Data Protection Law), only data that is necessary and limited to the purpose is kept, and sensitive data calls for extra care.

** 04 Are prospects and customers kept on the same card? **
Yes, the same card is used; the difference is the card's stage in the lifecycle. When a prospect buys, the card does not change; only its stage moves forward, and its history is kept.

** 05 What is a customer relationship score? **
A relationship score is an indicator that summarises the state of the relationship with a customer based on the activity on the record. Corex360 CRM keeps the relationship score and the customer lifecycle on the card.

** 06 Who can see a customer's card? **
In Corex360 access is role-based; sign-ins, devices, downloads, and permission changes are logged.
