# Call centre vs PBX: what each one solves

A PBX is the infrastructure that manages a company's phone lines and extensions; a call centre is a way of working that answers, distributes, and records calls as team work. A call centre is built on top of a PBX, not instead of one.

A PBX is the infrastructure that manages a company's phone lines and extensions; a call centre is a way of working that answers, queues, distributes, and records calls as team work. The PBX decides where a call goes, and the call centre decides what is done with it. That is why a call centre is built on top of a PBX, not instead of one.

** 01.

## What is a PBX, and what does it do?

**
Short answer A PBX is the phone infrastructure that connects outside lines to the company's internal extensions and handles transfers, holds, and extension-to-extension calls.

In an office, the PBX is the arrangement working behind the one number customers call. The call lands at reception, reception transfers it to accounts, and accounts calls the warehouse on its extension. This used to happen in a box on the wall; today, in most businesses, a [cloud PBX](https://www.corex360.com/en/blog/what-is-cloud-pbx) running over the internet does the same job.

A PBX carries the call but does not know what it is for. Who the caller is, what they asked last week, or whether a call-back was promised is not the PBX's business. Unless that information is kept on a record, it is lost when the call ends.

** 02.

## What does a call centre need beyond a PBX?

**
Short answer On top of the PBX, a call centre needs a call queue, a rule for distributing calls between agents, a record that notes the outcome of each call, and reports that show the team's work.

In a call centre the phone is shared team work. An incoming call goes to a free agent and joins a queue if everyone is busy. When the call ends, the agent writes the outcome: information given, quote requested, complaint opened. Outbound calls follow the same pattern; the call list is split between agents and each call's outcome is recorded.

PBX and call centre compared
| Topic | PBX | Call centre |
|---|---|---|
| Core job | Managing lines and extensions | Answering calls as team work and bringing them to an outcome |
| Unit | Line and extension | Agent and call record |
| Question | Where does the call go? | What was done with the call? |
| Record | Date, time, and duration of the call | Subject, outcome, and customer the call belongs to |
| Whose job | The whole company | The team that serves customers by phone |

## Which business needs which?

**
Short answer A business where the phone passes between a few people needs only a PBX; if a team serves customers by phone, it needs a call centre set-up.

Example scenario: picture a company in Antalya that installs and services air conditioners. If service requests arrived one after another on the same morning at the start of summer, one number and a few extensions would not be enough: the caller's place in line, which agent answered, and any call-back promise should be recorded. The same company's accounts team talking to a supplier, on the other hand, is simply a PBX matter.

The line is drawn by whether the outcome of a call is followed up, not by team size. A support team of a few people that links every call to the customer record and calls back the unanswered ones is working like a call centre. Whether the content of a call is recorded is a separate decision; the glossary explains [what call logging is](https://www.corex360.com/en/glossary/call-log) and which rules apply to it.

## Which measures does a call centre track?

**
Short answer A call centre tracks unanswered calls, whether call-back promises are kept, waiting time, and the outcome each call closes with.

A PBX report says how long a call lasted; a call centre report asks whether the call did its job. Whether an unanswered call was called back, whether a customer had to call more than once about the same issue, and which calls turned into a quote or a service ticket are examples of those questions.

These measures can only be worked out once a call is linked to a customer record and an outcome. In a set-up that keeps only a call list, tying the same customer's separate calls together is done by hand and usually not done at all. So the first step in setting up a call centre is deciding which record a call is written to.

## Which rules apply to outbound calls from a call centre?

**
Short answer A promotional outbound call counts as a commercial electronic message and needs prior consent; the trader's trade name is given at the start of the call.

Article 4 of the Regulation on Commercial Communication and Commercial Electronic Messages defines messages with data, voice, or image content sent for commercial purposes through means such as the telephone and call centres as commercial electronic messages. Article 8 of the same Regulation requires a trader to state their trade name, and a tradesperson their name and surname, in a voice call. Before promotional or campaign calls, check whether the person's consent is recorded in İYS, Turkey's message consent register.

In its decision 2020/34, the Personal Data Protection Board treated calling a number given to a call centre for a magazine subscription in order to advertise another company as use of the data outside its original purpose. A call centre list should also carry the purpose for which each number was collected.

## How is a call handled in Corex360?

**
Short answer Corex360 PBX makes calls from the Call Center window in the browser, using the extension assigned to each user; the call is linked to the contact card of the calling number.

The PBX is a module on the same core as the CRM; it does not connect to a separate system. Each user is assigned a WebRTC extension, and the top of the window shows Connected or Not connected. PBX users are listed with their extensions, and numbers are dialled from the keypad. Outgoing and missed calls are listed with date, time, and duration; Call Center and Customers open as tabs in the same window, and the call stays on the contact card of the calling number.

The PBX module has screens for PBX numbers, PBX users, and call history; a NetGSM integration is used for the PBX and SMS. Call audio recording, a voice menu, and the screen opening by itself during a call are not part of this description. The [Corex360 PBX page](https://www.corex360.com/en/modules/cloud-pbx) shows all the module's screens.

## Frequently asked

** 01 What is the difference between a call centre and a PBX? **
A PBX is the infrastructure that manages lines and extensions; a call centre is a way of working that answers, distributes, and records calls as team work. A call centre is built on top of a PBX.

** 02 Does a small business need a call centre? **
If the phone passes between a few people, a PBX is enough. If a team serves customers by phone and the outcome of every call is followed up, a call centre set-up is needed even for a small team.

** 03 Does a promotional call from a call centre need consent? **
The Regulation on Commercial Communication and Commercial Electronic Messages counts communication for commercial purposes through means such as call centres as commercial electronic messages; check consent and the İYS record before a promotional call. This answer is not legal advice.

** 04 Can a cloud PBX replace a call centre? **
A cloud PBX manages lines and extensions over the internet; it does not by itself set up the team arrangement that follows up a call's outcome. Queueing, distribution, and recording outcomes have to be planned separately.

** 05 Why does linking a call to the customer record matter? **
If a call is not linked to the customer record, the call-back promise and the subject discussed are lost when the call ends. With the call on the record, the next agent sees the previous conversation.

** 06 Where do calls appear in Corex360 PBX? **
In Corex360 PBX, outgoing and missed calls are listed with date, time, and duration, and the call stays on the contact card of the calling number. Call Center and Customers open as tabs in the same window.
