An account card is the accounting record that tracks the debit and credit movements between you and a company; a customer card is the record of the sales relationship with that company: conversations, opportunities, quotes, and contracts. Both describe the same company, but they answer different questions.

** 01.

## What is an account card?

**
Short answer An account card is the accounting record that shows a company's invoices, collections, payments, and current balance.

In Turkish accounting, the word 'cari' refers to the running account opened for every company a business trades with on credit. The account card holds formal details such as the registered name, tax office, tax number, address, and payment terms. Below them it lists the invoices issued, the payments received, and the resulting balance.

The language of the account card is precise and formal. Even the smallest difference causes trouble in a reconciliation, so the details on the account card must match those on the invoice exactly. Accounting is careful when changing this card and wants a trail for every change.

Account cards are opened for suppliers as well as customers, and some companies are both customer and supplier. The account card always asks the same question: where do we stand with this company in terms of money?

** 02.

## What is a customer card?

**
Short answer A customer card is the record of the sales relationship with a company: who you spoke to, what was asked for, which quote went out, and which contract was signed.

The customer card speaks the language of sales. It holds the people you talk to inside the company, the WhatsApp and email threads, the opportunities opened, the quotes sent, and the contracts signed. The card asks: where does our relationship with this customer stand, and what comes next?

The language of the customer card is looser. It holds notes such as 'decision at month end', 'price-sensitive', or 'the technical manager needs convincing'. These notes mean nothing to accounting but a lot to sales, which is why two cards about the same company speak so differently. A customer card opens the moment the relationship begins, often long before the first invoice. A prospect who has not bought anything yet also sits on a customer card, whereas an account card usually becomes meaningful with the first commercial transaction.

** 03.

## Why do the two get mixed up?

**
Short answer They get mixed up because both carry the same company name, yet one follows the money and the other follows the relationship.

The account card and the customer card side by side
| Topic | Account card | Customer card |
|---|---|---|
| What it follows | Debit, credit, and balance | Conversations, opportunities, quotes, and contracts |
| Its question | Where do we stand with this company on money? | Where does our relationship stand, and what comes next? |
| Its language | Exact and official: legal name, tax number, address, payment terms | Loose: people, messages, sales notes |
| When it starts to matter | Usually with the first trade transaction | As soon as the relationship begins, often well before the first invoice |
| Whose work | Accounting | Sales |

Example scenario: Picture a firm in Kocaeli that sells industrial paint. The salesperson knows the customer by a short name, as a metal workshop; accounting has opened the same company under its full registered trade name, with a long legal suffix. Even when both teams talk about the same company, they struggle to understand each other.

Names are just the start of the confusion. When the salesperson says 'this customer is in good shape', they mean the relationship; when accounting says 'not in good shape', they mean an overdue balance. Both are right, but because they do not look at the same screen, neither sees why the other is right.

The words used in software add to the confusion. One program says 'account', another 'company', another 'customer'. If nobody inside the company agrees which word means what, sales and accounting talk about different things in the same meeting.

** 04.

## What does keeping two separate cards cost?

**
Short answer With two separate cards the company is written twice, the details drift apart over time, and sales and accounting see the same customer differently.

While [preparing a new quote](https://www.corex360.com/en/blog/how-to-prepare-a-quote), the salesperson does not know the customer has an overdue debt. When accounting calls about collection, they do not know the customer complained last week. The address is updated on one card and left old on the other, and the invoice goes to the wrong address.

For the manager the cost is even less visible. To see which customers buy regularly and also pay on time, they pull two separate reports and merge them by hand. The merge is done again every month and carries small errors every time.

At the Kocaeli paint firm this cost shows most at the start of the season: while sales prepares the new season's quotes, accounting tries to close last season's open balances, and the two teams call the same customer on different days for different reasons. This cost is sharper in companies that run two separate programs: CRM in one place, accounting in another. We covered the software side of this in detail in the [CRM vs ERP difference](https://www.corex360.com/en/blog/crm-vs-erp) article.

## How do the two cards come together on one record?

**
Short answer The company is written once; relationship details sit in the tabs of the customer card, which also has a Finance tab.

Coming together does not mean squeezing two cards into one form. Accounting's formal fields and sales' relationship fields stay separate, but both are tied to the same company and the same record. The address changes once, and everyone sees the new one.

On a joined record, the conversation between collections and sales gets easier too. When accounting sees an overdue balance, it reads the salesperson's latest conversation on the same card; when the salesperson prepares a new quote, they see the open balance and ask the customer the right question. In Corex360 the customer card has a Finance tab alongside the Overview, Contacts, Opportunities, Quotes, and Contracts tabs. You can see the real screen of the card on the [Corex360 customer tracking software](https://www.corex360.com/en/solutions/customer-tracking-software) page.

** 06.

## Where do you start when moving to one record?

**
Short answer First the same companies on both lists are matched; then the formal details are taken from a single source, and sales and accounting start looking at the same record.

In most companies the most laborious part of the switch is matching. The long registered name in accounting and the short name in sales belong to the same company, but software cannot know that on its own. Tax number, phone, and email are the most reliable keys for this matching.

Once matching is done, the rule is plain: formal details are accounting's responsibility and relationship details are sales'; both update the same record. At Corex360 setup the existing list is imported together. Matching is done once, but it needs upkeep. Searching by tax number before opening a new company is the simplest guard against duplicates. Sales and accounting should both follow this habit in the same way.

** 07.

## Who uses which card?

**
Short answer Sales works with the relationship and accounting with the money; on one record both look at the same company, and permissions are split by role.

The salesperson works in the opportunity and quote tabs, accounting in invoice and collection movements. On one record the salesperson should be able to check the customer's financial position when needed, and accounting should be able to read the latest conversation before calling about a payment. Who sees what is set by role-based permissions, and access is logged. In Corex360, sales and accounting see the same customer card; access is role-based and logged. You can follow how this card is used in the accounting team's day on the [accounting and HR team's day](https://www.corex360.com/en/solutions/accounting-hr) page.

** 08.

## How do the account and the customer card share one record in Corex360?

**
Short answer In Corex360 the company is entered once; sales works from the card's tabs, and accounting looks at the same company from the Finance tab and the Accounting module.

The customer card has Overview, Contacts, Opportunities, Quotes, Contracts, Projects, Finance, Files and Drive tabs side by side. Sales and purchase invoices are issued in the Accounting module, on the same core as the customer card, and passed to your accounting software. The [integration options list](https://www.corex360.com/en/integrations) shows DİA, e-Invoice and e-Archive (GİB, the portal of Turkey's Revenue Administration), Logo, Mikro, Netsis and Paraşüt. Sales follows the relationship and accounting follows the money from the same company's record.

## Frequently asked

** 01 What is an account card? **
An account card is the accounting record that shows the invoices, collections, payments, and current balance between you and a company. It is opened for customers and suppliers alike.

** 02 Is there a difference between an account and an account card? **
In everyday use they often mean the same thing. The account card is the record holding the company's details and transactions; the account itself describes the debit and credit position those transactions create.

** 03 Which details are required on an account card? **
For companies you invoice, you need the registered name, tax office, tax or ID number, and address. Confirm with your accountant which fields are mandatory.

** 04 Do you open a customer card for a supplier? **
For a supplier you open an account card. If you exchange regular messages and quotes with the supplier, keeping a relationship record for the same company also helps; the company is still written once.

** 05 Should a salesperson see the customer's balance? **
Knowing about an overdue debt while preparing a new quote helps the salesperson ask the right question. What is visible is the company's permission decision, and it is set through role-based access.

** 06 What if the same company is both a customer and a supplier? **
The company is written once; purchase and sales movements are tracked on the same company's account, and the sales relationship sits on the customer card. Confirm with your accountant how the movements should be separated.
